Job Summary
The Tender Executive is responsible for identifying, preparing, and submitting tenders, bids, and proposals to secure new business opportunities. The role involves coordinating with internal departments, gathering relevant information, ensuring compliance with tender requirements, and maintaining tender documentation. The Tender Executive plays a key role in ensuring timely and accurate submission of tenders and bids.
Key Responsibilities
1. Tender Identification & Evaluation
Monitor tender portals, newspapers, and online platforms for new tender opportunities.
Evaluate tender notices and eligibility criteria to determine feasibility.
Coordinate with management to decide on bid participation.
2. Tender Preparation & Submission
Collect and compile all necessary documentation required for tender submission.
Prepare tender documentation (technical and commercial proposals) in line with client requirements.
Ensure all documents are accurate, complete, and submitted before deadlines.
Liaise with vendors, suppliers, and partners to obtain quotations and technical inputs when needed.
3. Coordination & Communication
Work closely with internal departments (finance, operations, legal, technical) to obtain required inputs.
Communicate tender status updates to management.
Maintain effective communication with clients and government or private agencies regarding tender clarifications.
4. Documentation & Record Keeping
Maintain organized records of all tenders, pre-qualifications, and post-submission correspondences.
Ensure proper filing of hard and soft copies of tender documents for audit and reference.
5. Post-Tender Activities
Follow up on tender results and feedback.
Assist in contract negotiation and documentation after successful tender awards.
Update management on win/loss analysis to improve future submissions.
Key Skills & Competencies
Strong understanding of tendering procedures and documentation.
Excellent written and verbal communication skills.
High attention to detail and organizational ability.
Ability to manage multiple deadlines under pressure.
Good negotiation and analytical skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and tender portals.
Qualifications
Bachelor’s degree in Business Administration, Commerce, Engineering, or a related field.
2–5 years of experience in tendering, bidding, or proposal coordination (depending on level).
Experience in [insert industry, e.g., Manufaturing & Production / Steel Industries / oil and gas Industries preferred.
Work Environment
Office-based role with occasional site visits or client meetings.
May require overtime during tender submission deadlines.

Pay: ₹10,319.03 - ₹34,476.03 per month
