Supplier Documentation & Traceability Specialist — Spare Parts

Key Responsibilities
Experience in logistics, quality, or document control in an industrial/service environment.

• Working knowledge of supplier certificates and basic product-compliance concepts (COO, Mill Cert. CoC/CoA, SDS, RoHS/REACH).
• Competence with SAP or ERP and document systems (e.g., SAP, SharePoint/Box) and Microsoft Excel/PowerPoint.
• Clear written communication and vendor-facing confidence.
• Fluent in verbal and written English, additional languages are an advantage.

Roles & Responsibilities

Liaising with Vendor/Buyer to ensure already ordered certificates arrive

Liase with Warehouse to ensure all Certs are received

Validating country of origin, certificate numbers etc.

Managing non-conformance of certs

Drafting statements such as declaration of origin, material composition declaration

Ensure that all open PO’s are screened to ensure correct documentation has been ordered

Liaise with OM to ensure requirement has been captured

Liaise with Parts Engineering to ensure missed requirement are updated in PB

Feedback and liaise with Sourcing, OM and ITO teams where requirement has been missed

Store certificates to ensure compliance

Issuing of certificates to OM

Measure: No of missed requirement, Non-conformance level, AD-hoc certificate request
