Sr. Officer / Assistant Manager - Coal Commercial

Role & responsibilities

A.

• Thorough scrutiny of domestic coal payment requests, verification with Management approvals / contract documents , seeking approval from Incharge domestic coal controllers team with recommendations and justifications
• Wherever deviation is observed , seeking satisfactory clarifications from payment requesting team
• Processing payment request in SAP, follow up / coordination with cross functions F&A , ABEX for making payment proposal ready to pay .

B.

• Tracking and follow up for coal invoices from Fuel Management team for the coal that has reached plant for enabling timely processing of invoices against GRN booked..
• Ensuring timely PO availability ( Rail mode) and follow up for GRN booking ( Both Rail/ Road mode) for coal that is received at plant through active coordination with plant stores team and Fuel management team . Material reconciliation
• Verification of invoice cost elements with Proforma invoice , cost structure shared by Fuel management team during seeking advance payment , coal billed grade w.r.t advance payment and processing invoices with checklist against GRN booked.
• Participation in resolution of open GR/IR transactional pending issues through discussions with cross functions.
• Verification of Credit/ Debit notes issued by coal companies on account of quality variation , coal cost element change on post facto basis and processing them in SAP against original invoice booked . Seeking approval from financial controller wherever price variation from GRN value versus invoice value occurs.

C.

• Verification of vendor payable recommended by Fuel Management team for Road transport vendor / washery vendor / associated logistics vendors including coal sampling etc in line with approved management notes , signed contract document.
• In case of any discrepancies in payable computation , seeking clarification from Fuel management team with justification and with necessary supporting documents .
• Vendor payable & reconciliation along with Fuel management team and F&A team.

D.

• Maintaining elementary actual cost component incurred and actual quality of coal record as received at any/ all domestic coal based plants source wise , procurement platform wise ( linkage/ auction type/ auction nomenclature wise / mode wise ( Rail/ Road/ RcR).
• Raising performance deviation alarm with financial analysis of implication wherein actual performance is in deviation with targeted performance / budgeted performance .
• Maintaining a record of penal costs beyond normal like Railway freight overloading/ underloading / Freight against undercharging/ demurrage for coal rakes loaded from various sidings / coal fields.
• Collating performance data for all TPPs on Monthly basis preparing MIS in meaning manner for presentation to management in the form of monthly coal diary.

E.

• Interplant coal transfer related PO creation in parent plant code / transferee plant code , reconciliation of quantities GST no wise , plant wise and GRN booking in both plants.
• Sale invoice generation in SAP from parent plant to transferee plant mine wise mode wise .

F.

Preferred candidate profile:

A.

1. Basic commercial acumen with knowledge of procure to pay cycle for bulk commodity .

2. Bulk material supply chain & accounting knowledge preferably coal.

3. SAP MM module functional knowledge is must.

4. MS excel advance knowledge is must.
