Job Description

Job Title: Senior Resourcing & PMO Manager (Offshore)

Experience : 8 to 11 Years

Reporting to General Manager Delivery, Australia

Supervises - Senior Resourcing & PMO Officer (Offshore)

Shift Timings: 7.30 AM to 4.30 PM

Position Purpose:

Resourcing

  • Demonstrate understanding and awareness of the Consulting and Managed Services Business model, revenue generation, service and product offerings and team competencies
  • Effective management of resource demand, supply and capacity planning, informed through proactive and effective reporting.
  • Accurate Forecast reporting based on input from the Sales, Support and Delivery teams
  • Responsible for monitoring resourcing aspects of projects to ensure projects remain adequately resourced to highlight and solve gaps or clashes
  • Identify recruitment requirements, informed via Demand/Supply, Forecast Reporting, Capacity
  • Balancing of available resources across engagements, identifying opportunities for utilisation optimisation and revenue recognition
  • Work in collaboration with Consulting Leadership to maintain a constant knowledge of current and upcoming projects and business development activities as they relate to resourcing and operations
  • Manage end to end engagement of Contractors / Contingent-workers
  • Maintain the Contractor register in SharePoint.
  • Manage the engagement of offshore resources with partner organisations including arranging New Start Request Form (NSRF) and ISEA (Intercompany Exchange Agreement).
  • Sourcing and initial screening of our contractor pool to determine assignment suitability including the creation of client-friendly profiles
  • Revenue Assurance through the effective management of the timesheet process; in collaboration with the Project Managers, mitigate the risk of revenue leakage, incorrect time allocation and recording, reconcile time submission to forecast
  • Identify and implement continual process improvement to support the business strategic imperative of Win Work Now including but not limited to process improvement, tools to increase business and client value
  • Build and administer project SharePoint sites to support project quality, artefact management, knowledge repositories
  • Manage RAMP updates
  • Soft bookings and hard bookings based on deal sheet and SOW status
  • Weekly updates based on project budget tracker updates
  • Weekly leave updates
  • Be able to extract and compile the weekly utilization report per prescribed template and timelines
  • Maintaining skills matrix for up-to-date skill classifications, working with Practice Directors and Leads

Collaboration and Communication:

  • Build and develop effective working relationships with key stakeholders, including but not limited to; SLT, Sales & Marketing, Consulting, Managed Services, Corporate Services, Regional and Global teams.
  • Ability to influence people within the organisation and find win/win across different projects/engagements
  • Proactive and effective communication of challenge and risk that may impact future work demand, staff utilisation and the wider portfolio. Identify the mitigation activities and effectively and efficiently implement
  • Find alternative solutions to competing demands through creative thinking and negotiation

Organisational Development Skills Management:

  • Creation and maintenance of collateral to support the Business to Win Work Now e.g., candidate profiles for permanent consulting employees to be provided to clients, capability statements, capacity management process
  • Maintain skills matrix for up-to-date skill classifications
  • Manage process for consultants to regularly update skills matrix so that an up-to-date repository of competencies is maintained and ready to be leveraged to Win Work Now and contribute to the goals of the Business.
  • Coordinate certification registration and maintain certification records
  • Manage Consultant Profile database
  • Liaising with HR on global requirements
  • Liaising with sister companies nationally and globally in regard to resource requirements

PMO

  • Manage new project setup i.e., develop WBS structure setup in SAP ITP and RAMP, Monday.com setup, RAMP updates, SharePoint setup, scheduling and documenting the Sales to Delivery meetings.
  • Manage the Harvest timesheet tool set up of new projects, time sheets review, approving if needed, upload into ITP, approving in ITP and communicating to the Delivery team and Consulting team leads. This includes inviting new users and archiving the projects when the project is closed.
  • Liaising with ServiceNow team to set up the new Harvest entries in ServiceNow.
  • Support project managers to drive the process of internal approvals for change requests
  • Organise and chair the weekly RADAR meeting
  • Organise and chair the monthly Practice Director Portfolio review meetings to be arranged after 6th of every month ERP, D&A and SF practices – 1 meeting for each practice.
  • Maintain the Delivery Project Charters
  • Weekly review of all the projects – includes timesheets check, resourcing, ETC check, invoicing check, risks/issues, publishing of the status report by the project managers and Monday.com updates. This to be tracked until the project is moved to ‘Closed’ section in Monday.com by the General Manager – Delivery
  • Understanding of different project types – T&M / Fixed price and its revenue and margin calculations.
  • Working with Global Delivery Assurance team as needed
  • Support any audit activities
  • Update and maintain project management templates as needed.

Critical Knowledge, Skills & Experience

  • 8+ years Resource Management, Project Management, PMO experience
  • Expert level knowledge on the RAMP tool, with ability to derive information and reports based on dynamic scenarios presented
  • Expert level knowledge on MS Office tools. Excel, PPT, Word, Project, SharePoint
  • Experience of resource forecasting and utilization, revenue and margin management, projects compliance and audit
  • Strong interpersonal skills and the ability to work effectively with a wide range of stakeholders within the NDBS AU business
  • Ability to analyze and solve problems, perform complex tasks, and prioritize multiple projects.
  • Strong communication - verbal and written
  • Strong in multi-tasking and time management skill with an ability to switch between tasks and manage competing priorities.
