Job Description

Role & responsibilities

I. General Office Administration and Communication

  • Reception and First Point of Contact:

    Greeting and assisting visitors, students, parents, and community members in person and over the phone.
  • Correspondence Management:

    Managing incoming and outgoing mail, emails, and general school correspondence.
  • Record Keeping:

    Maintaining and updating various school records, both paper and electronic (e.g., student files, staff files, system databases like SIMS).
  • Office Systems:

    Operating and maintaining office equipment (photocopiers, fax machines, computers) and managing office supplies inventory.
  • Administrative Support:

    Providing word processing, drafting, and formatting of letters, reports, newsletters, and other internal/external publications for the school leadership and staff.

II. Student and Staff Support

  • Student Enrolment and Records:

    Processing student enrolments, withdrawals, and maintaining accurate, confidential student data (including attendance records).
  • Welfare and First Aid:

    Providing care and support for sick or distressed students, administering basic first aid and medication as required (often requiring a current first aid certificate).
  • Communication with Parents:

    Assisting with communication between the school and parents regarding attendance, events, and general inquiries.
  • Staff Support:

    Providing administrative support to teachers and other school staff, which can include preparing learning materials, arranging meetings, and assisting with timesheets for casual staff.

III. Financial and Procurement Duties

  • Financial Records:

    Maintaining basic financial records, including processing invoices, handling petty cash, and assisting with day-to-day banking and bookkeeping.
  • Purchasing and Inventory:

    Ordering, receiving, dispatching, and stocktaking of materials, goods, and consumables (office, classroom, and general supplies).
  • Quotation:

    Arranging and obtaining quotes for purchases, maintenance, and disposal of school equipment.

IV. School Operations and Compliance

  • Logistics and Events:

    Assisting with the organisation and administration of school events, excursions, meetings, and venue bookings.
  • Policy Compliance:

    Ensuring administrative processes and record-keeping comply with school policies, legal requirements, and educational regulations.
  • Data Reporting:

    Submitting required educational and operational data to relevant authorities.

Preferred candidate profile

Key Skills and Qualifications

  • Skills:

    • Excellent written and oral communication skills.
    • Strong organizational and time management abilities, including the capacity to prioritise and multitask.
    • High proficiency in IT, especially Microsoft Office (Word, Excel, Outlook) and a willingness to learn specialised school management software (e.g., SIMS).
    • Attention to detail and accuracy, particularly with data and financial records.
    • Customer service orientation and the ability to interact positively with diverse stakeholders (students, parents, staff).
    • Ability to maintain confidentiality and use discretion.
