Job Description

A receptionist acts as the first point of contact, greeting visitors, answering phones, and providing a welcoming atmosphere while managing front desk operations and administrative tasks. Key duties include managing correspondence, scheduling appointments, maintaining records, organizing the reception area, and handling mail and deliveries. This role requires excellent customer service, strong communication, organizational skills, and the ability to multitask to ensure smooth daily operations and support overall office efficiency.  Key Responsibilities Visitor & Client Management: Greet guests, check them in, and direct them to the appropriate person or department.  Communication: Answer and forward incoming calls, take messages, and respond to general inquiries via phone, email, or in-person.  Administrative Support: Perform clerical duties such as filing, photocopying, data entry, and document preparation.  Scheduling: Manage calendars, book meeting rooms, and schedule appointments.  Mail & Deliveries: Receive, sort, and distribute mail, packages, and deliveries.  Office Maintenance: Maintain a tidy and presentable reception area, and monitor and order office supplies.  Security: Manage visitor logs, issue access badges, and control entry according to security procedures.  Essential Skills & Qualifications Customer Service: A friendly and professional demeanor to create a positive experience for visitors and clients.  Communication: Excellent verbal and written skills for clear and effective communication with staff and external contacts.  Organization: Strong organizational and time-management skills to effectively prioritize tasks and maintain order.  Multitasking: The ability to handle multiple tasks and responsibilities simultaneously.  Technical Proficiency: Familiarity with common office equipment (phones, printers, fax machines) and software, such as Microsoft Office Suite.  Proactiveness: Resourcefulness and the ability to resolve issues proactively.  Receptionist Job Description, Roles & Responsibilities - WeCPA Receptionist is responsible for managing the front desk, greeting visitors, answering phone calls, and performing administrative...
