Purchase Officer

Job Responsibility:

To oversee and manage the procurement activities of the organization by ensuring timely purchase of materials and services as per specifications and at optimal costs. The Section Head Purchase is responsible for vendor management, purchase order processing, material follow-up, and quality assurance to support smooth operations and project timelines.

• Convert Purchase Requisitions (PR) into Purchase Orders (PO) in line with approved lead times.
• Float enquiries to suppliers for quotations and coordinate with end users for technical clarifications.
• Prepare and analyses techno-commercial comparative statements for a minimum of three vendors and conduct first-level negotiations.
• Prepare and issue purchase orders with agreed-upon terms and conditions.
• Maintain continuous follow-up to ensure timely delivery of materials from PO issuance to Goods Receipt (GR).
• Maintain and update daily reports on PR receipts and PO processes, including material rate, vendor details, and delivery dates.
• Follow up with vendors based on delivery schedules and ensure receipt of material at the site.
• Conduct or coordinate inspections at vendor sites to verify the quality and workmanship of ordered materials.
• Identify and on board new vendors; map and create vendor codes in SAP or ERP systems.
• Ensure compliance with internal procurement policies and contribute to vendor development and cost optimization initiatives.

1. Technical Requirements/Expertise

• Strong knowledge of procurement processes and ERP systems (preferably SAP).
• Good negotiation and analytical skills.
• Understanding of technical specifications and vendor evaluation.
• Effective communication and coordination skills.
• Proficient in documentation and reporting.
