Job Description

Role & responsibilities

We are looking for a detail-oriented and proactive Assistant Purchase Manager with 2 to 3 years of experience in procurement and vendor management. The ideal candidate must be proficient in Tally for creating purchase orders, skilled in vendor development, and capable of ensuring timely delivery of goods through strong follow-ups. The role also requires Excel proficiency, a basic understanding of operational workflows, and excellent negotiation and convincing skills.

Key Responsibilities:

  • Purchase Order Management: Create and manage purchase orders on Tally and ensure accurate documentation.
  • Vendor Management: Identify, onboard, and maintain strong relationships with vendors while ensuring cost-effective procurement.
  • Vendor Development: Source new vendors, negotiate pricing, and ensure quality compliance.
  • Timely Procurement: Conduct rigorous follow-ups to ensure goods are received on time and meet quality standards.
  • Operations Understanding: Coordinate with internal teams to ensure procurement aligns with organizational needs.
  • Negotiation & Persuasion: Negotiate contracts, pricing, and terms while ensuring vendors deliver on time and meet agreed specifications.
  • Relationship Management: Maintain cordial yet firm relationships with vendors to ensure efficiency in procurement processes.
  • Problem-Solving: Address and resolve vendor-related disputes and delays proactively.
  • Compliance & Documentation: Ensure adherence to company policies, industry regulations, and maintain proper purchase records.

Knowledge, Skills, and Attitudes (KSA)

Knowledge:

1. Procurement & Vendor Management Understanding of sourcing, purchasing, and supplier relationship management.

2. Tally & Purchase Order Creation – Hands-on experience in Tally for PO management.

3. Negotiation & Pricing Strategies – Ability to negotiate pricing and contract terms effectively.

4. Operations Workflow – Basic understanding of how procurement integrates with logistics, inventory, and production.

1. Strong Follow-ups & Execution – Ability to track orders, push vendors, and ensure on-time delivery.

2. Communication & Convincing Skills – Clear, confident, and persuasive communication with vendors and internal teams.

3. Attention to Detail – Ensuring accuracy in purchase orders, invoices, and delivery schedules.

4. Multitasking & Time Management – Managing multiple orders and vendors without delays.

5. Relationship Building – Maintaining professional yet firm relationships with vendors and internal stakeholders.

6. Problem-Solving & Decision Making – Addressing procurement issues proactively and resolve disputes in a timely manner.
