Position Overview:

We are seeking a highly organized and proactive Purchase & Stores Executive to manage end-to-end procurement and inventory activities. The ideal candidate should have experience coordinating with vendors, strong negotiation skills, and working knowledge of electrical panels and related industrial/electrical products. This role will also involve complete stock and warehouse management using Zoho (or equivalent ERP system).

Qualifications:

• Graduate / Diploma in Electrical, Supply Chain, or related field.
• Minimum 2 to 5 years of experience in purchase and stores handling.
• Knowledge of electrical panels / industrial electrical components is mandatory.
• Hands-on experience with Zoho ERP or similar procurement & inventory management software.
• Strong negotiation and vendor management skills.
• Good communication and documentation abilities (MS Excel preferred).
• Ability to independently manage multiple tasks and deadlines.

Key Responsibilities:

Procurement

• Coordinate with vendors and suppliers for electrical panels and related materials.
• Obtain and compare quotations; negotiate pricing, delivery terms, and payment terms.
• Finalize vendors based on pricing, quality, and delivery performance.
• Prepare and release Purchase Orders (POs) in Zoho.
• Follow up with vendors for timely delivery of materials.

Material Receiving & Stores Management

• Receive materials physically and ensure timely inward entry in Zoho.
• Verify quality and quantity of incoming materials against PO, invoice, packing list, and specifications.
• Manage unloading, inwarding, and storage of materials in the warehouse.
• Assign materials to ongoing projects based on the Bill of Materials (BOM).
• Raise Goods Receipt Note (GRN) and coordinate submission of invoices & documents to the purchase/finance team.
• Maintain documentation for all receipts, issues, dispatches, and returns.

3.Inventory Control

• Maintain adequate stock levels and update inventory in Zoho daily.
• Perform physical stock verification and reconcile periodically.
• Track project-wise material consumption, pending materials, and returns after job completion.
• Generate monthly stock reports and consumption reports.
• Identify materials reaching reorder levels and alert the purchase team for replenishment.
• Safely dispose of obsolete, expired, and damaged stock as per company policy.

4.Logistics & Dispatch

• Coordinate packing and dispatch of courier materials and outgoing shipments.
• Prepare delivery challans and documentation for project and customer deliveries.

5.Audit & Compliance

• Support internal and external audits (quarterly / half yearly / annual).
• Maintain accurate records and ensure procurement, store, and stock processes follow company procedures.
