About the Role

We are looking for a proactive and detail-oriented Project Coordinator to support the successful planning, execution, and delivery of healthcare software implementation projects.

The Project Coordinator will serve as a key link between clients, internal teams (development, support, and QA), and management — ensuring timelines, quality standards, and deliverables are met. This role requires strong organizational, communication, and documentation skills along with an understanding of healthcare workflows and software implementation processes.

Key ResponsibilitiesProject Coordination

  • Coordinate and monitor project activities, timelines, and deliverables across multiple modules of the HMIS.
  • Track progress, prepare status reports, and communicate updates to stakeholders.
  • Assist Project Managers in scheduling meetings, preparing agendas, and recording minutes of meetings.
  • Maintain and update project documentation including project plans, risk registers, and change requests.
  • Ensure adherence to implementation methodology and client timelines.

Client Communication & Support

  • Act as the primary contact between clients and internal teams for ongoing project coordination.
  • Gather and document client requirements, ensuring they are clearly communicated to the technical teams.
  • Follow up on issue resolution and ensure timely closure of client queries.
  • Coordinate and support user acceptance testing (UAT) and Go-Live activities.

Implementation & Documentation

  • Support the implementation team in configuring, validating, and deploying modules.
  • Document process workflows, module configurations, and client-specific customizations.
  • Prepare user training materials, presentations, and module demonstration documents.
  • Assist in post-Go-Live support and ensure feedback is logged for process improvement.

Reporting & Tracking

  • Maintain project trackers, dashboards, and progress reports.
  • Identify risks and escalate project deviations proactively to the project manager.
  • Coordinate follow-ups on assigned action items and deliverables from all stakeholders.

Skills & Competencies

  • Excellent coordination and multitasking abilities.
  • Strong communication and documentation skills.
  • Good understanding of healthcare workflows and HMIS solutions.
  • Proficiency in MS Office tools (Word, Excel, PowerPoint).
  • Analytical thinking and a problem-solving mindset.
  • Ability to work collaboratively across departments and manage multiple priorities.

Qualifications & Experience

  • Bachelor’s Degree in Computer Science, IT, Healthcare Administration, or related field.
  • 1–3 years of experience in software project coordination or implementation, preferably in the healthcare domain.
  • Exposure to hospital information systems (HIS/HMIS/EMR) will be an advantage.
  • Willingness to travel to client sites for project coordination and implementation activities.
