Procurement Officer

As a Supply Chain Coordinator, you will be responsible for handling the communication with vessels and vendors for a small segment of vessels. Your primary tasks will include keeping track of vessel itineraries, planning supplies at economical ports, coordinating with vendors to obtain quotes, negotiating for the best prices, and following up for supplies. Additionally, you will be required to maintain a relevant database to ensure smooth operations. Your roles and responsibilities will include effectively communicating with vessels and processing provision requirements in a timely manner. You will also be responsible for liaising with agents for additional costs and coordinating supply arrangements, as well as tracking daily orders. It is essential to process all orders through the respective software and provide vendors with a minimum of 48 hours of working time for the supply of provisions. Furthermore, you will need to follow up with vendors for Requests for Quotation (RFQ) and order confirmations, negotiate with vendors for the best prices, and ensure quality supplies are delivered on board. You must accurately compare the costs of all purchase orders and update the Daily Activity Sheet (DAS) and vessel trading pattern on a daily basis. Maintaining records of communications related to specific purchase orders, addressing complaints raised by vessels to vendors, resolving issues, and ensuring timely scanning of invoices received from vendors are also part of your responsibilities. You will be required to address any invoice-related queries raised by the scanning team. To be successful in this role, you should have a Graduation or Hotel Management Graduate degree with 2-3 years of experience in shore-based catering management or a purchase background. Specific skills and knowledge required include effective communication, negotiation skills, and proficiency in Excel.,
