Job Summary: We're seeking a highly organized, discreet, and proactive Personal Secretary to provide comprehensive administrative and secretarial support to [mention the person/department, e.g., our CEO, a Senior Executive, or the Director]. Based in Nashik, you'll be instrumental in managing schedules, coordinating communications, handling documentation, and ensuring all administrative tasks are executed efficiently and confidentially. The ideal candidate will possess excellent communication skills, impeccable attention to detail, and the ability to anticipate needs. Key Responsibilities Administrative & Secretarial Support Calendar and Schedule Management: Efficiently manage and maintain complex calendars, scheduling appointments, meetings, and travel arrangements (domestic and international) with meticulous attention to detail. Communication Handling: Screen and direct phone calls, emails, and correspondence. Draft, proofread, and send professional communications (emails, letters, memos) on behalf of the executive. Meeting Coordination: Organize and coordinate meetings, including preparing agendas, gathering necessary materials, taking minutes, and distributing action items. Travel Arrangements: Arrange detailed travel itineraries, book flights, accommodation, transportation, and manage related expenses. Document Management: Prepare, format, and organize confidential documents, reports, presentations, and spreadsheets. Maintain physical and electronic filing systems. Office Management & Support Expense Management: Track and process expense reports accurately and in a timely manner. Record Keeping: Maintain confidential records and files with utmost discretion and security. Office Supplies: Manage and order office supplies, ensuring the executive's office is well-stocked. Liaison: Act as a professional and courteous liaison between the executive and internal/external stakeholders, clients, and partners. Personal Assistance (if applicable and agreed upon) Assist with personal errands or appointments that require professional discretion, ensuring seamless integration with professional duties.
