Job Description

You will be reporting to senior management and performing secretarial and administrative duties. Acting as the point of contact for callers, you will handle emails and phone calls by responding, passing on messages, or highlighting them to their manager. Managing internal and external correspondence on behalf of senior management will be one of your responsibilities. It is crucial for you to handle requests and queries appropriately and maintain the confidentiality of sensitive company and personal information. Your tasks will also include managing and scheduling meetings and appointments, booking and arranging travel, transport, and accommodation, as well as ordering office supplies and replacements. Additionally, you will be responsible for managing mail and courier services, completing miscellaneous tasks to support your manager, and assisting in reviewing reports, documents, and briefing the Managing Director accordingly. You will also be liaising with staff, suppliers, and clients, reminding the manager/executive of important tasks and deadlines, ensuring accurate record-keeping for all MD-related tasks, and in the absence of MD, attending to guest/client visits in the office. Key Responsibilities: - Act as the point of contact for callers and handle emails and phone calls efficiently - Manage internal and external correspondence on behalf of senior management - Handle requests and queries appropriately - Maintain confidentiality of sensitive company and personal information - Schedule and manage meetings, appointments, travel, transport, and accommodation - Order office supplies, manage mail and courier services - Complete miscellaneous tasks to support the manager - Assist in reviewing reports, documents, and briefing the Managing Director - Liaise with staff, suppliers, and clients - Remind the manager/executive of important tasks and deadlines - Ensure accurate record-keeping for all MD-related tasks - Attend to guest/client visits in the office in the absence of MD Qualifications Required: - Proven experience as an executive secretary or similar administrative role - Proficient in MS Office and office management software - Exceptional organizational and time-management skills - Strong communication and interpersonal abilities - High level of discretion and confidentiality - Ability to multitask and prioritize tasks effectively Please note that the job type is full-time and the work location is in person.,
