Proforma Invoice Specialist

Key Responsibilities

• Daily Stock Verification:

• Collect the latest stock report from the Inventory Manager promptly.
• Verify physical and system stock to ensure accuracy before processing any orders.

• Order Coordination & Priority:

• Accept orders strictly on a First Come, First Serve basis to maintain fairness and efficiency.
• Coordinate with the Sales Team for model and color selections based on current inventory availability.

• P.I. Generation via SAP System:

• Generate all Proforma Invoices using SAP B1 Software to ensure system consistency.
• Ensure accuracy in all aspects of the invoice, including customer details, pricing, and product information.

• Advance Payment Tracking:

• Monitor and track advance payments received from customers, ensuring they are properly recorded and applied to corresponding orders.

• Running Stock Balance Update:

• Regularly update and monitor running stock balances to reflect accurate inventory levels for seamless operations.

• Production Coordination:

• Collaborate with the Production team to align manufacturing schedules with sales needs and inventory levels.

• Record & Reconciliation of PIs:

• Maintain comprehensive records of all Proforma Invoices issued.
• Conduct regular reconciliation of invoices to ensure alignment between invoicing, payment, and inventory records.

Qualifications and Experience

• Bachelor’s degree in business administration, Accounting, Finance, or a related field.
• Proven experience in invoicing, billing, or a similar role.
• Strong understanding of invoicing and financial systems.
• Attention to detail and excellent organizational skills.
• Effective communication and interpersonal skills.
• Ability to work collaboratively in a team environment.

• Hands-on with SAP Business One & MS Excel.
