Job Description

Job Summary
The Operation Coordinator plays a crucial role in ensuring the smooth and efficient functioning of our office operations. This position involves managing various administrative tasks, providing exceptional customer service, and supporting the overall organizational workflow. The ideal candidate will be detail-oriented, possess strong organizational skills, and have a background in office management or administration.

Duties

  • Production & Operations Coordination:
  • Plan, schedule, and monitor production workflows to meet client deadlines.

Quality Control & Assurance:

  • Coordinate with QC team for quality checks before and after branding.
  • Flag rejections to the order processing team and ensure timely replacement.
  • Maintain quality standards throughout production and packaging processes.

Vendor & Printing Coordination:

  • Liaise with printing vendors and in-house printing teams to ensure accuracy and timeliness of branding.
  • Ensure sample approvals are taken from the Sales team prior to final production.
  • Monitor vendor performance and escalate issues when necessary.
  • Coordinate with the order processing team for timely arrival and acknowledgment of goods.
  • Take handover of goods from the inward team for quality check and branding.
  • Ensure branding activities are scheduled and completed on time with vendors or in-house team.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong computer literacy with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail.
  • Effective time management skills to prioritize tasks efficiently.
  • Strong phone etiquette and interpersonal communication abilities.
  • Experience as a dental receptionist or medical receptionist is advantageous but not required.
  • Previous experience as a personal assistant or in customer service roles is preferred. This position requires a proactive approach to problem-solving and the ability to work collaboratively within a team environment while maintaining professionalism at all times.
