Job Description

  • Administrative Support:
  • Answering phone calls and emails.
  • Handling correspondence, such as letters and packages.
  • Scheduling appointments or meetings.
  • Assisting with data entry and managing office files.
  • Office Organization:
  • Keeping office supplies stocked and organized.
  • Maintaining office equipment and coordinating repairs when necessary.
  • Managing office calendars and meeting rooms.
  • Customer Service:
  • Greeting visitors and ensuring they are directed to the appropriate staff or department.
  • Handling inquiries from clients or customers, either in person or over the phone.
  • Document Management:
  • Organizing and filing documents, both physical and digital.
  • Preparing and editing documents, reports, or presentations.
  • Clerical Tasks:
  • Assisting with basic bookkeeping tasks (like tracking expenses or handling petty cash).
  • Preparing travel arrangements or handling travel bookings.
  • Team Support:
  • Assisting managers and other team members with special projects or tasks as needed.
  • Managing and coordinating office events or team-building activities.

Skills Needed:

  • Communication: Strong verbal and written communication skills.
  • Organizational Skills: Ability to prioritize tasks and stay organized.
  • Time Management: Efficient in managing multiple tasks simultaneously.
  • Attention to Detail: Ensuring accuracy in documentation and scheduling.
  • Computer Skills: Proficiency in software such as Microsoft Office (Word, Excel, PowerPoint) or Google Workspace.
  • Customer Service: Ability to handle inquiries and maintain professional interactions.

Qualifications:

  • High school diploma (or equivalent). Some roles may require additional certifications or experience in administration.
  • Previous experience in an office or administrative role is often preferred.
