Job Description

Keystar Gems Inc. is a New York-based lab-grown diamond wholesale and manufacturing company. We work with clients across the U.S and Canada, offering a wide inventory of certified diamonds and custom jewelry solutions.


We’re seeking a sharp, detail-oriented team member to support our operations and sales coordination remotely from India.


Key Responsibilities


  • Issue and update 

    memos and invoices

     using internal inventory systems
  • Maintain 

    payment logs

    , track pending memos, and follow up on due dates
  • Post 

    stock lists

     to WhatsApp broadcast groups and coordinate with clients
  • Create, organize, and update 

    Excel/Google Sheets stock and order reports

  • Assist in preparing 

    customer-facing documents

     (PDFs, pricing lists, etc.)
  • Coordinate daily with the NYC sales team and Indian production team
  • Make professional WhatsApp/phone follow-ups when needed



Skills Required


  • Proficient in 

    Microsoft Excel

     and 

    Google Sheets

  • Strong English communication (written + verbal)
  • Organized and responsive, with good time management
  • Comfortable using 

    WhatsApp, Gmail, Google Drive

  • Experience in admin, CRM, sales coordination, or back-office roles (any industry)
