Role Summary
The Inventory Executive will be responsible for accurate daily inward and outward stock control, issuing materials for production, and maintaining real-time inventory records on Odoo ERP. This role ensures uninterrupted production by planning reorder levels, coordinating with production and dispatch teams, and preparing timely month-end stock statements and periodic stock audits.
Key Responsibilities
1) Daily Inward Stock Management
- Receive all inbound raw materials, packaging materials, and finished goods.
- Verify quantity, quality basics, and documentation against PO / invoice / delivery challan.
- Ensure proper lot/batch code tagging and labeling as per internal QC and traceability norms.
- Record inward entries in
Odoo ERP in real time
(same day, same shift). - Coordinate with Quality for sampling/inspection and release status.
- Update discrepancies immediately and escalate shortages/damages to reporting manager.
2) Daily Outward Stock & Dispatch Control
- Process outward movement for production, repacking, and dispatch as per approved plans.
- Pick, pack, and stage materials/finished goods with FIFO/FEFO logic.
- Record outward entries in Odoo ERP in real time.
- Maintain outward documentation (production issue slips, dispatch challans, internal transfer notes).
- Coordinate with dispatch assistant / transporter for correct SKU-wise loading and handover.
3) Material Issuance to Production
- Issue raw materials and packaging materials to production floor strictly against authorized production plan / job card.
- Ensure correct lot selection, weight verification, and issuance recording on Odoo.
- Track daily consumption vs issued quantities and highlight abnormal variance.
- Collect production return/leftover materials and update Odoo accordingly.
- Ensure zero production stoppage due to stock unavailability.
4) Odoo ERP Inventory Accuracy (Real-Time System Ownership)
- Maintain
100% accurate, real-time stock

- Finished goods
- Create and update products, categories, UoMs, lots/batches, locations if needed.
- Manage internal transfers between locations (warehouse production FG dispatch).
- Ensure all stock movements are system-recorded and auditable.
- Generate required inventory reports from Odoo for ops reviews.
5) Ordering & Reorder Planning
- Monitor minimum stock levels and reorder points for all key materials.
- Raise indent/reorder requests on time to avoid stockouts.
- Coordinate with procurement/vendors for lead times and expected arrivals.
- Maintain an ordering tracker aligned to production and dispatch calendars.
6) Month-End Stock Statements & MIS
- Prepare month-end stock statement from Odoo + physical validation.
- Share closing stock summary with Finance/Founder (SKU-wise, lot-wise).
- Support reconciliation of variances, GRN pending, consumption mismatches, and aging stock.
- Maintain an audit-ready file of stock statements and variance notes.
7) Periodic Stock Taking / Cycle Counts
- Conduct weekly/fortnightly/monthly physical stock checks (as per schedule).
- Lead full stock taking during month-end or audit requirements.
- Identify and report variances between physical vs system stock.
- Investigate root causes (wrong UoM, missing inward/outward, production loss, damage).
- Ensure corrective actions and system clean-ups are completed.
8) Warehouse Hygiene & Organization
- Maintain clean, organized storage with clear labeling, zones, and SKU segregation.
- Ensure pest-safe storage and compliance with food safety norms.
- Track damaged/expired/slow-moving stock and report for disposal decisions.
- Ensure safe stacking, handling, and storage temperature/humidity where needed.
9) Cross-Functional Coordination
- Work closely with Production, Quality, Dispatch, and Procurement teams daily.
- Attend daily production/dispatch huddles for stock readiness updates.
- Provide real-time inventory visibility to planning team/founder.

Required Skills & Qualifications
- Graduate in any discipline (B.Com / BBA / BA / BSc preferred).
1–3 years experience
in inventory/warehouse roles, preferably in FMCG/Food/Manufacturing. Hands-on Odoo ERP experience mandatory
(Inventory module + lots/batches + internal transfers). - Strong understanding of inward/outward processes, FIFO/FEFO, and traceability.
- Comfortable with Excel/Google Sheets for MIS and reconciliations.
- Basic understanding of production issuing and packaging material control.
