About the Role:
We are seeking a highly organized and detail-focused intern to join our Employee Enablement Team. This role is critical in ensuring the smooth and efficient delivery of all internal training and upskilling programs. The ideal candidate is proactive, proficient with administrative tools, and committed to providing excellent support to our employees and leadership.
1. Program Logistics and Coordination (80%) The primary responsibility is managing the end-to-end operational workflow for all scheduled employee development sessions:
• Scheduling & Invitations: Manage the session calendar, create necessary meeting invites, and distribute communications to all participants and internal/external facilitators.
• Facility Coordination: Serve as the primary point of contact for the Admin Team to coordinate room bookings, manage setup requirements, and ensure necessary resources (e.g., equipment, materials) are in place.
• Communication Flow: Handle all internal communications, including sending registration confirmation, pre-session reminders, post-session follow-ups, and managing rapid updates via email and chat platforms.
• Record Keeping: Accurately track and manage session attendance, generate required participation reports, and maintain updated training records.
• Follow-Up Management: Ensure timely follow-up with participants and stakeholders to confirm attendance and outstanding requirements.
2. Internal Engagement and Visibility (20%)
• Platform Engagement: Utilize the internal social platform (Viva Engage) to create, schedule, and post engaging content, announcements, and success stories related to employee upskilling initiatives.
• Resource Organization: Assist in organizing, managing, and maintaining program documentation and resource libraries, primarily using SharePoint.
• Extensive Proficiency in Microsoft Excel: Must demonstrate advanced proficiency in data management, tracking, reporting, and using functions (e.g., VLOOKUP, Pivot Tables) to manage large datasets accurately.
• Exceptional Organizational Skills: Proven ability to manage complex scheduling, coordinate logistics across multiple departments, and maintain meticulous attention to administrative detail.
• Strong Written Communication: Ability to craft clear, professional, and grammatically precise correspondence for a wide audience.
• Working knowledge and practical experience with the broader Microsoft 365 suite, including MS Teams (for coordination/meetings), SharePoint (for document management), and Outlook (for advanced calendar and email management).
