Job Description

Career Development (50%)

  • Collaborate with the PLA CD HR and co-ordinate the bi-annual Specialist Career Development Committee (CDC) meetings
  • Generate/track evaluations and other feedback (e.g., Downward, Upward) on a weekly basis
  • Regular and rigorous follow-ups with stakeholders to ensure feedbacks are completed well in-time for CDC meetings
  • Ensure timely completion of PIFs and Dossiers on Workday
  • Summarize meeting notes in concise meeting minutes for further review
  • Work with CD advisors and advisees to ensure 1-on-1 calls implemented prior to and post CDC meeting
  • Coordinate with PLA HR team to implement CDC decisions, e.g., change of title/status, change of system record, etc. on Workday
  • Coordinate with local HR and Finance teams to implement compensation changes as needed
  • Assist with preparation of regular emails about promotions, new starters, organize promotions gifts, etc.
  • Manage relevant HR database to make sure Specialist related data are up to date
  • Maintain CD relevant documentation on CD system in Workday
  • Support PLA HR with Year-end bonus process
  • Prepare reports and presentations as well as analyze data as needed

Mobility:

  • Tracks and processes any application on Pathways under mobility programs. Shares application with system leaders and Recruitment team for scheduling interviews. Checks for their ratings with respective home locations, schedules initial interviews, follows up for feedback
  • Reviews details like compensation, relocation package (if applicable) for the internal transfer. Takes necessary approval from PLA leaders for compensation increment if any.
  • Aligns with Local Mobility Team on the start and date of the internal transfer, basis the type of mobility opted by the internal transfer.
  • Prepares and releases introduction email with internal transfer incase PLA is the host office hire- shares details of PLA Leaders, system leaders, shadow-CDA, Buddy, PoCs for Staffing, L&D, Onboarding
  • Pathways posting, un-posting
  • Marketing local jobs globally
  • Coordinates for Transfer Memo prepared by Mobility Team and adds it to employee e-file

Onboarding

  • Verifies information shared by recruiter with Workday data, manages any required changes on Workday
  • Maintains employee e-file with signed offer letters, and CV
  • Updates PAAFs of new hires on Workday- assigns to TDA and any other IPA/FPA if aligned with
  • Work with local HR system teams to ensure a smooth and seamless onboarding process tapping into the system resources
  • Prepare integration materials and touch points for hires based on their role and PA affiliation
  • Schedule integration meetings with business partners/stakeholder or relevant staffers
  • Maintain Trello board for Onboarding with the latest information
  • Prepare reports and presentations as well as analyze data as needed

  • Strong attention to detail: Ensure all information and communication is accurate and comprehensive

Preferred eligibility

  • 2-3 years professional experience in HR Operations role

  • Fluent in English (written and spoken)
  • High proficiency in MS Word, Excel, PowerPoint and Outlook
