Role Overview

highly disciplined, proactive, and responsible Admin & Operations Manager

Key Responsibilities

1 Manpower Management

  • Oversee attendance, timekeeping, shift allocation, roster preparation, overtime control.
  • Coordinate with HR for recruitment, onboarding, and discipline actions.
  • Ensure proper deployment of labour (permanent + contract).
  • Maintain daily manpower tracker across production, packing, loading, housekeeping.

2 Plant Administration

  • Manage staff transportation, food arrangements, hostel/quarters if any.
  • Ensure all statutory compliance documents are maintained (labour licence, safety registers).
  • Handle vendor management – cleaning, canteen, uniforms, PPE, consumables, stationery.
  • Maintain visitor entry/exit records, gate registers, and communication logs.

3 Security Management

  • Supervise security guards and ensure 24/7 vigilance.
  • Implement strict gate control for:
    • inward/outward materials
    • vehicle movements
    • employee check-in/out
    • visitor approvals
  • Conduct surprise audits at gates and random night inspections.
  • Prevent pilferage, theft, misuse of company assets.

4 Housekeeping & Facility Management

  • Maintain 5S across plant areas – production floor, store, QC lab, office, washrooms.
  • Ensure cleaning schedules are executed daily.
  • Track housekeeping materials and monthly stock usage.

5 Operational Coordination

  • Support Production, QC, Stores, Dispatch teams with planning & daily operations.
  • Manage diesel logs, DG set records, water tanker planning, and utilities management.
  • Raise indents for admin-related purchases and follow approval workflows.

6 Reporting & MIS

  • Daily reports:
    • Manpower deployment summary
    • Security & gate movement report
    • Housekeeping checklist
  • Weekly reports to HO on compliance, issues, requirements.
  • Maintain documentation for audits (internal/external).

Skills Required

  • Strong leadership and team management skills
  • High discipline and accountability
  • Experience in plant administration (mandatory)
  • Vendor & contract labour handling
  • Good communication & computer skills
  • Knowledge of security protocols & gate management systems
  • Ability to work under pressure and handle crises

Qualification

  • Graduate / Postgraduate (Any discipline)
  • Preferably candidates from

    manufacturing / process industry

  • Experience managing 100–150 manpower is an advantage
