Job Description

Role & responsibilities:

Strategic Planning:

  • Develop and implement long-term people operations strategies.
  • Continuously analyze current and future needs to assess requirements.

Cost Control and Budget Management:

  • Prepare and manage the annual operations budget.
  • Monitor business operations costs and explore cost-saving opportunities, including monitoring incentive and payroll structures.

Communication and Coordination:

  • Maintain constant communication with offices in different countries and understand local needs.
  • Ensure effective collaboration with external vendors and service providers.

Personnel Management:

  • Manage training, performance evaluation, promotion, and offboarding processes for direct reports.
  • Foster collaboration within the team and promote team spirit.

Employee Records & Administration:

  • Ensure employee files, leave, and absenteeism records are regularly updated.
  • Conduct employee record processes in accordance with labor laws and regulations of respective countries.
  • Ensure the confidentiality and security of employee information.
  • Oversee proper management of official procedures during onboarding and offboarding.
  • Coordinate complete and compliant offboarding processes, including exit procedures and handovers.

Legal Compliance & Procedures:

  • Ensure compliance with legal regulations and labor laws in different countries.
  • Organize and track all official documents and procedures related to employees.
  • Follow and implement updates related to taxes, insurance, leaves, and other legal requirements.
  • Apply for local tax and insurance incentive programs.

Workday Platform Management:

  • Ensure data accuracy, integrity, and consistency on the Workday platform.
  • Design necessary reports for company needs.
  • Act as project manager for minor initiatives on the platform.

Key Performance Indicators (KPIs);

Operational Efficiency:

  • Maintenance Request Resolution Time: Resolve all requests within 48 hours.
  • Planned Maintenance Completion Rate: At least 95% of monthly scheduled maintenance completed on time.
  • Office Rent Incentives Usage Rate: 100% utilization of eTurquality Star Office incentives; organize related embassy visits.

Financial Efficiency:

  • Annual Budget Overrun Reduction: Keep budget overruns below 5%.
  • Cost Saving Projects: Implement at least 3 cost-saving projects annually.
  • Supplier Cost Control: Ensure 90% of supplier invoices stay within the planned budget.

Personnel Management:

  • Training & Development Completion Rate: 100% completion of annual training and development plans by administrative staff.

HR Administration and Compliance:

  • Timely Onboarding: Complete onboarding process for new hires within two weeks.
  • Consistent Offboarding Process: Ensure 100% of employee offboarding processes are completed according to protocol.
  • Legal Compliance: Zero violations of legal documents or obligations throughout the year.

Health & Safety:

  • Participation in Safety Trainings: Maintain over 95% participation in employee safety trainings.
  • Health and Safety Inspections: 100% of annual inspections completed on time and thoroughly.

Communication & Coordination:

  • Response Time to Feedback: Respond to 95% of employee communications and feedback within 24 hours.
  • Coordination Meetings: Hold at least one monthly coordination meeting with local admin staff.

Innovation & Sustainability:

  • Energy Saving Project Completion Rate: Implement and complete at least two energy-saving or sustainability projects per year.
  • Waste Reduction Target: Reduce annual carbon footprint by 10%.
  • Environmental Monitoring: Monitor and report environmental factors (e.g., energy and water consumption) at least twice a year.
