Position: Guest Relation Executive

Job Description:
We are seeking a skilled, professional, and highly organized individual to join our team as a Front Office Executive. The ideal candidate should possess excellent communication and administrative skills to efficiently manage front desk operations. This role plays a key part in creating a positive and welcoming first impression for visitors, clients, and employees, while ensuring smooth day-to-day administrative functioning.

Responsibilities1. Reception Duties

  • Greet and welcome visitors, clients, and employees in a warm and professional manner.
  • Answer, screen, and route incoming calls promptly and efficiently.
  • Maintain a clean, organized, and presentable reception area at all times.

2. Visitor Management

  • Register visitors, issue badges, and ensure all security protocols are followed.
  • Coordinate and schedule visitor appointments and notify employees upon their arrival.

3. Communication

  • Handle incoming and outgoing mail, couriers, and packages.
  • Monitor, manage, and respond to emails, calls, and inquiries in a timely manner.

4. Administrative Support

  • Assist with scheduling meetings, conferences, and appointments for staff.
  • Maintain and monitor office supplies and inventory.
  • Arrange travel and accommodation for employees when required.
  • Prepare and manage office documents, reports, and official correspondence.
  • Track office expenses, reimbursements, and maintain related records.

5. Facilities Management

  • Coordinate with building management for repairs, maintenance, and facility-related requirements.
  • Ensure office cleanliness, hygiene, and a well-maintained work environment.

6. Vendor Management

  • Coordinate with vendors for office supplies, services, and maintenance.
  • Obtain cost-effective quotations and ensure timely delivery of services.

7. Event Coordination

  • Assist in organizing office events, meetings, and celebrations.
  • Collaborate with internal teams to ensure smooth execution of events.

Requirements

  • Proven experience as a Front Office Executive, Front Office Administrator, or in a similar administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Proficiency in MS Office (Word, Excel).
  • High attention to detail and the ability to work independently.
  • Experience in vendor management and facility coordination is an added advantage.
  • Female candidates preferred.
  • Positive attitude and customer service-oriented approach.
