About The Role
We are seeking a highly motivated and results-oriented Procurement Operations Manager to join our growing IFM team. In this role, you will be responsible for managing the procurement process for all IFM projects and services across India, ensuring cost-effectiveness and timely delivery while building strong relationships with clients and suppliers.
Responsibilities
- Manage the entire procurement lifecycle for IFM projects and services pan-India, including:
- Identifying and sourcing qualified vendors for various IFM requirements (cleaning, preventive maintenance, adhoc requirements etc.)
- Issuing RFQs and managing the bid process
- Evaluating bids and negotiating pricing and terms with suppliers
- Awarding contracts and managing supplier relationships
- Processing purchase orders and ensuring timely delivery of services.
- Monitoring vendor performance and ensuring adherence to contracts.
- Maintaining accurate procurement records and reports
- Identifying potential new suppliers, conducting due diligence, and managing supplier onboarding processes
- Increase diverse vendor spend and count.
- Collaborate closely with IFM operations teams and clients to understand their specific needs and identify cost-saving opportunities.
- Collaborating with operations teams to understand their procurement requirements and align procurement strategies accordingly
- Develop and maintain strong relationships with key vendors and suppliers.
- Ensure compliance with company procurement policies and procedures.
- Ensure Vendor compliance on Contract and PO. Timely loaded in Simpliance system
- Ensure that vendors are compliant with industry standards, statutory regulations, internal policies and contractual terms, conditions, and obligations. This involves conducting audits, risk assessments, and due diligence checks to assess vendor compliance.
- Conduct timely assessments of supplier contracts and change orders to identify areas of potential non-compliance, adverse supplier performance and other issues that could have an adverse impact to the company in order to effectively communicate, track and abate Supplier risk elements.
- Create governance for Contract approvals, Savings reporting, documentation and compliance
- Analyze procurement data to identify trends and opportunities for improvement.
- Stay up to date on industry best practices and legal requirements for IFM procurement
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field
- Minimum 7 years of experience in procurement operations, preferably within the IFM industry
- Strong understanding of procurement processes, including sourcing, negotiation, contract management, and supplier relationship management
- Excellent analytical and problem-solving skills
- Proven ability to manage multiple projects simultaneously and meet deadlines
- Excellent communication and interpersonal skills, with the ability to build strong relationships with both internal and external stakeholders
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and procurement software (preferred)
- Experience working in a fast-paced environment with a strong focus on customer service
