Job Description

The Front Office Executive is responsible for overseeing and managing all front office and guest services operations to ensure a seamless, efficient, and luxurious experience for all guests in line with the hotel’s 5-star standards. This role requires exceptional leadership, communication, and problem-solving skills to maintain high levels of guest satisfaction and operational excellence.

Key Responsibilities:

Guest Service & Experience:

  • Ensure all guests are greeted with a warm smile and professional demeanor upon arrival.
  • Manage guest check-in and check-out processes efficiently and accurately.
  • Address guest inquiries, requests, and complaints promptly, professionally, and to the guest's satisfaction.
  • Provide detailed information to guests regarding hotel facilities, services, and local attractions.
  • Coordinate with various departments (Housekeeping, F&B, etc.) to ensure guests receive personalized service and attention.

Operational & Administrative Duties:

  • Supervise the front office staff and coordinate with them to ensure any guest complaints are resolved efficiently.
  • Check and manage room inventory, availability, and verify room rates and packages.
  • Manage room assignments, key card issuance, and coordinate guest pick-up and drop-off services.
  • Compile and review daily reports, logs, and contingency lists.
  • Perform Night Audit procedures and the End of Day (Night Run) process in the Property Management Software (PMS).
  • Maintain accurate records in daily logs and the hot log book, documenting any issues during the shift.
  • Handle the booking of walk-in reservations and manage general reservations.
  • Ensure the team is briefed on ongoing issues and maintains knowledge of all hotel policies and procedures.

Financial & Compliance:

  • Process and manage all cashiering transactions, including cash, credit card transactions, and billing.
  • Post room charges, taxes, and other revenue accurately.
  • Calculate bills and collect payments from guests.
  • Ensure all front desk associates balance their shift and complete cashier closure reports correctly.
  • Fill C-Forms of Foreign Guests and update the Arrival & Departure Register on a daily basis (where applicable).

Required Qualifications & Skills

  • Education: Bachelor’s Degree in Hospitality Management or a related field (or equivalent professional experience).
  • Experience: Proven experience as a Front Office Executive, Front Desk Agent, or a similar role, preferably within a luxury 5-star hotel environment.
  • Technical Proficiency:1 Strong working knowledge of Property Management Systems (PMS) such as OPERA CLOUD, INNKEY, or similar hospitality software1.
  • Communication: Excellent verbal and written communication skills in English; proficiency in multiple regional or foreign languages is highly desirable.
  • Core Competencies:1 Strong leadership, decision-making, and organizational skills. Proven ability to multitask and manage a fast-paced environment with a positive approach
