Job Description

Key Responsibilities

Reception & Customer Service:

  • Greet and assist visitors, tenants, and clients in a professional manner
  • Manage visitor registration and access control procedures
  • Answer and direct phone calls, take messages, and handle inquiries
  • Maintain visitor logs and issue temporary access badges
  • Coordinate meeting room bookings and setup

Administrative Support:

  • Handle incoming and outgoing mail and packages
  • Maintain reception area cleanliness and organization
  • Update tenant directories and building information displays
  • Process tenant service requests and work orders
  • Support property management team with administrative tasks

Security & Compliance:

  • Monitor building access and security protocols
  • Report security incidents or maintenance issues
  • Ensure compliance with building safety procedures
  • Coordinate with security personnel when needed

Communication & Coordination:

  • Relay important information to tenants and management
  • Assist with tenant communications and notices
  • Support property events and tenant activities
  • Maintain professional appearance and demeanor

Required Qualifications

  • High school diploma or equivalent (Bachelor's degree preferred)
  • 1-3 years of reception or customer service experience
  • Excellent verbal and written communication skills
  • Proficiency in MS Office and basic computer applications
  • Professional appearance and strong interpersonal skills
  • Ability to multitask and work in fast-paced environment

Preferred Qualifications

  • Experience in commercial real estate or property management
  • Bilingual capabilities
  • Knowledge of building management systems
  • Customer service certification
