Job Description

Front Office Executive

Job Type : Contract

Key Responsibilities

You would be the first point of contact for visitors, clients, and callers, representing the organization professionally while managing various administrative and customer service responsibilities.

Reception and Customer Service

  • Greet visitors warmly and professionally, ensuring a positive first impression
  • Answer, screen, and direct incoming phone calls to appropriate departments
  • Handle inquiries and provide information about company services and policies
  • Manage visitor registration and maintain visitor logs
  • Issue visitor badges and ensure security protocols are followed

Administrative Support

  • Schedule and coordinate appointments and meetings
  • Maintain reception area cleanliness and organization
  • Handle incoming and outgoing mail, packages, and courier services
  • Update and maintain contact directories and databases
  • Prepare basic correspondence and documentation
  • Support other departments with administrative tasks as needed

Communication Management

  • Manage multiple phone lines efficiently
  • Take accurate messages and ensure timely delivery
  • Handle email inquiries and forward to relevant personnel
  • Maintain professional communication standards across all channels

Office Coordination

  • Monitor office supplies for the front desk area
  • Coordinate with building management for maintenance issues
  • Assist in organizing company events or meetings
  • Support Facilities / Admin / HR / Finance with Cross Functional activities.

Required Qualifications

Education and Experience

  • Required Diploma or equivalent; Bachelor's degree preferred
  • 1-2 years of experience in Front office or customer service or administrative roles
  • Previous front desk or reception experience advantageous

Skills and Competencies

  • Excellent verbal and written communication skills
  • Strong interpersonal abilities and professional demeanor
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Multi-tasking capabilities and strong organizational skills
  • Attention to detail and accuracy in work
  • Problem-solving abilities and customer-focused mindset
