Job Description

  • A Front Office Coordinator is responsible for managing the front desk, ensuring smooth daily operations, and acting as the first point of contact for clients and visitors. Key duties include greeting guests, handling phone calls, scheduling appointments, managing correspondence, ordering office supplies, and performing various administrative tasks like data entry and filing. Strong communication, organizational, and technical skills are essential for success in this role. Core responsibilities Guest services: Greet and welcome visitors, answer inquiries, and direct them to the appropriate person or department. Communication management: Answer and direct phone calls, handle incoming and outgoing mail, and manage correspondence like emails and faxes. Scheduling: Coordinate and schedule appointments, meetings, and conference room usage. Administrative support: Perform a wide range of administrative tasks, including filing, data entry, record-keeping, and maintaining confidentiality. Office maintenance: Monitor and manage inventory for office supplies, order supplies, and ensure the front desk area is organized and presentable. Vendor and equipment liaison: Coordinate repairs for office equipment and spaces, and assist with managing vendors. Key skills and qualifications Communication: Excellent verbal and written communication skills for interacting with clients and staff. Organization: Strong organizational and time-management skills to multitask effectively. Technical proficiency: Familiarity with modern office equipment, multi-line phone systems, and software like Microsoft Office Suite and other relevant applications. Customer service: A professional and welcoming demeanor with the ability to handle stressful situations and resolve issues calmly. Problem-solving: The ability to identify and solve problems to improve front desk processes and customer satisfaction. Typical qualifications Education: A high school diploma is often the minimum, but an associate's or bachelor's degree may be preferred. Experience: Previous experience in a front desk, administrative, or customer service role is typically required.
