Job Description

Role & responsibilities

  • Manage email accounts respond to routine inquires, chamber/cabin blocking mails.
  • Conduct cleanliness rounds.
  • Ensure the 4th floor Reception TV, Video clip, conference room TV, lights, VC cameras, and mic are functioning properly.
  • Check with security for updates and coordinate with them on pending samples/materials and employee belongings.
  • Assist staff with sample/material arrangements and discard as needed.
  • Coordinate for meetings, appointments and maintain accurate records for schedules.
  • Coordinate with staff for discarding materials & preparing boxes for discard in the arome cabin.
  • Supervise and assist staff with discarding materials & arranging new market samples.
  • Arrange workstation tables desk properly to maintain a tidy look.
  • Coordinate with staff for working lunches during long meetings.
  • Assist with client visits, including bouquet arrangements, working lunches and welcome board preparation.
  • Plan monthly birthday celebrations.
  • Maintain petty cash details accurately.
  • Update sales team with collected leads via email and whatsapp. (Discont...)
  • Maintain stationary and housekeeping stock.
  • Update Pantry stock records every 15-days and use near-expiry products first.
  • PR & PO creation (locations MIDC & 360Office), and follow-up for approvals.
  • Assist team with visiting card requirements.
  • Assist team with any issues related to attendance.
  • Maintain sufficient first aid stock and check medicines monthly. For refilling send dispense data to Mr. Anil Nalawade and request for refill.
  • Accept chamber/conference room booking requests via email only.
  • Handle CONTACTUS mail ID queries and leads data collection. (Discont..)
  • Organizing files, documents, and other information.
  • Coordinate with security supervisor Mr. Paresh Khambekar for Saturday visits.
  • Segregate discard materials properly (empty glass bottles, plastic bottles, aluminium bottles, etc.) and send an email to the safety department.
  • Prepare a stationary kit for new joiners and coordinate with HR for induction timing and schedule.
  • Coordinate with Building Gate Security for any visitors parking.

Coordinate with Building supervisor for any office related issues/filing of any documents
