Job Summary:

Technical Executive Assistant

The ideal candidate will manage complex calendars, organize meetings, document minutes, follow up on action items, and ensure seamless communication and coordination across departments.

This role requires strong technical acumen, multitasking ability, and a high degree of professionalism.

Key Responsibilities:

  • Calendar & Scheduling Management:

    • Manage and maintain executive calendars, scheduling internal and external meetings.
    • Anticipate conflicts and proactively suggest solutions.
  • Meeting Coordination & Documentation:

    • Organize virtual/in-person meetings, prepare agendas, and take detailed minutes.
    • Track and follow up on action items and decisions from meetings.
  • Department Coordination & Communication:

    • Act as a liaison between executive leadership and various departments.
    • Ensure timely flow of information and assist in cross-functional coordination.
  • Follow-Up & Task Management:

    • Maintain task trackers, reminders, and dashboards to ensure timely completion of key deliverables.
    • Provide status updates and escalate delays proactively.
  • Technical Documentation Support:

    • Assist in preparing presentations, reports, and technical briefs.
    • Maintain organized digital files and document repositories.
  • Confidentiality & Professionalism:

    • Handle sensitive information with discretion and integrity.
    • Represent the office professionally in communications and engagements.

Key Skills & Qualifications:

  • Education:

    • Bachelors degree
  • Technical Proficiency:

    • Strong working knowledge of MS Office Suite (Outlook, Excel, PowerPoint, Word).
    • Experience with digital collaboration tools (e.g., Microsoft Teams, Slack, Zoom, Google Workspace).
    • Familiarity with task/project management software (e.g., Asana, Notion, Trello, Jira) is a plus.
  • Organizational & Time Management:

    • Excellent organizational skills and attention to detail.
    • Ability to prioritize multiple tasks and meet deadlines.
  • Communication:

    • Excellent verbal and written communication skills.
    • Ability to coordinate professionally across levels and departments.
  • Analytical & Problem Solving:

    • Quick learner, capable of identifying issues and suggesting efficient solutions.
    • Good judgment and decision-making skills.
  • Experience:

    • 36 years of experience supporting senior executives in a technical, project-based, or corporate environment.

Preferred Qualities:

  • Experience working in a tech-driven or engineering organization.
  • Basic understanding of BIM, digital twins, or project lifecycle management (optional but a plus).
