Role Summary

Executive Assistant

Key Responsibilities

Executive Support & Coordination

  • Manage the Founder's calendar, appointments, and international travel arrangements with accuracy and efficiency.
  • Prioritize competing tasks to optimize the Founder's time and workflow.
  • Prepare and coordinate meeting materials including agendas, decks, notes, and action trackers.
  • Handle sensitive information with strict confidentiality and professionalism.

Operational & Administrative Management

  • Maintain and organize critical business documents such as contracts, NDAs, and compliance files.
  • Coordinate vendor interactions and office administration activities aligned to executive needs.
  • Plan and execute internal events, offsites, and Founder-led initiatives to strengthen company culture.
  • Identify operational bottlenecks and implement proactive solutions to improve efficiency.

Communication & Stakeholder Management

  • Serve as the primary liaison between the Founder and internal/external stakeholders.
  • Ensure clear, timely, and professional communication across all interactions.
  • Collaborate with HR, Finance, Legal, Operations, and other teams to support strategic and administrative goals.
  • Track deliverables, follow-ups, and deadlines across multiple initiatives.

Strategic & Project Support

  • Assist the Founder in coordinating key strategic programs by consolidating inputs and monitoring progress.
  • Conduct research, prepare summaries, and create briefing notes to support informed decision-making.
  • Draft and prepare presentations, reports, and documents for internal and external meetings.

Qualifications & Skills

  • 310 years of experience as an Executive Assistant supporting C-suite or Founders.
  • Strong experience managing

    international calendars and global travel

    , especially across US or other time zones.
  • Ability to work flexible hours to support cross-time-zone coordination.
  • Exceptional organizational, communication, and multitasking abilities.
  • High level of discretion, professionalism, and stakeholder management skills.
