Role & responsibilities

Primary Responsibilities:

Guest Relations

  • Welcome, host, and manage interactions with guests, clients, and partners, ensuring a seamless

and high-standard experience.

  • Provide VIP-level support for high-profile visitors, executives, and dignitaries, ensuring privacy,

comfort, and personalized service.

  • Coordinate hospitality arrangements such as reception hosting, refreshments, meeting room

readiness, and special requests.

  • Serve as a key liaison between the organization and external stakeholders, maintaining a polished

and professional brand image.

  • Utilize hospitality expertise to create a welcoming, service-oriented environment for all internal

and external engagements.

Administrative & Office Management:

  • Devising and maintaining office systems, including data management and filing.
  • Screening phone calls, inquiries, and requests; handling them when appropriate.
  • Dealing with incoming emails, faxes, and post, often corresponding on behalf of the manager.
  • Organizing and maintaining diaries, making appointments, and ensuring schedule alignment.
  • Producing documents, reports, briefing papers, and presentations.

Travel & Meeting Coordination:

  • Arranging travel, visas, and accommodation.
  • Occasionally traveling with the manager to take notes, dictations, or provide general assistance.
  • Organizing and attending meetings, ensuring the manager is well-prepared.
  • Taking dictation and minutes during meetings.

Strategic & Executive Support:

  • Conducting background research and presenting findings.
  • Carrying out specific projects and research as assigned.
  • Supporting accounts and budget responsibilities.
