About the Role:
We are seeking a dynamic and organized Executive Assistant to support the day-to-day activities of two co-owners. This individual will act as a mutual assistant for both owners, managing schedules, coordinating tasks, and ensuring operations run smoothly. The ideal candidate is tech-savvy, detail-oriented, and proactive in following up on tasks and commitments.
Key Responsibilities:
Administrative Support:
Manage schedules, appointments, reminders, and meetings for both co-owners.
Handle correspondence via group chats (WhatsApp, Asana) and ensure tasks/projects are on track.
Take meeting notes, summarize discussions, and provide actionable follow-ups.
Operational Management:
Assist in managing payslips, employee leave records, and balance cards.
Send out salaries and follow up with accountants on financial tasks and bookkeeping updates.
Maintain portals and ensure timely bill payments, including renewals for domains and hosting (e.g., GoDaddy).
Event and Task Coordination:
Arrange team parties and coordinate food deliveries.
Follow up on tasks to ensure deadlines are met and priorities are clear.
IT and Technical Assistance:
Provide basic support with email setups and handle basicIT-related queries.
Update websites (WordPress) and handle minor QuickBooks bookkeeping tasks.
Assist with domain and hosting renewals and other technical responsibilities.
Professional Communication:
Write professional emails and communicate effectively with stakeholders.
Maintain high standards of professionalism and discretion in all correspondence.
Required Skills and Qualifications:
Education: Bachelor’s degree (preferred).
Technical Proficiency: Experience with tools like WordPress, QuickBooks, Asana, and basic knowledge platforms like GoDaddy.
Organizational Skills: Excellent multitasking abilities with a focus on details and follow-ups.
Communication: Strong written and verbal skills, including the ability to draft professional emails.
Bookkeeping Knowledge: Basic understanding of bookkeeping and financial management.
Proactive Mindset: Takes initiative and stays on top of tasks for both owners.
