Role Overview

This is not a typical admin role , as the Executive Assistant to the CEO, you will act as a time manager, coordinator, and operations bridge, ensuring that the CEO’s priorities are executed without delay. You will handle scheduling, approvals, follow-ups, and reporting across sales, operations, accounts, and team tasks.

Key Responsibilities

1. Calendar & Daily Management

  • Plan and manage daily calendar (sales calls, client meetings, strategy sessions)
  • Provide daily priority briefings and reminders (“Today’s Top 3 Focus”)
  • Shield from small distractions by filtering tasks & approvals

2. Sales & Client Support

  • Track lead status updates from Sales Coordinator & CRM
  • Ensure quotations, invoices, and client meetings are scheduled on time
  • Coordinate with clients for follow-ups and reminders when required
  • Keep updated only on hot leads & closings

3. Operations & Approvals

  • Collect approvals from CEO and share with team in a structured way
  • Coordinate with HR Admin for attendance, HR docs, and team records
  • Track Meta ads updates, financial reports, and service delivery status — compile weekly updates

4. Reporting & Accountability

  • Maintain consolidated report of sales, operations, and accounts
  • Weekly performance summaries for CEO
  • Track pending payments with Recovery Manager and keep updated

Skills Required

  • Excellent communication (English, Marathi, Hindi)
  • Strong organizational & time management skills
  • Ability to multitask and manage priorities under pressure
  • Tech-savvy (Google Sheets, WhatsApp Business, CRM tools)
  • High sense of confidentiality and trustworthiness

Stipend
