Executive Assistant

Key Responsibilities

  • Manage and optimize complex calendars, appointments, and global travel arrangements across multiple time zones.
  • Coordinate international travel itineraries and logistics with attention to detail and agility.
  • Monitor and process expense reports, ensuring alignment with global compliance standards.
  • Prepare, proofread, and format executive-level communications, reports, presentations, and documentation.
  • Handle highly sensitive and confidential information with utmost discretion and professionalism.
  • Organize and facilitate meetings, including agenda preparation, logistics coordination, and minute-taking.
  • Serve as a key liaison between senior leaders and internal/external stakeholders across regions and functions.
  • Support tracking of strategic projects and follow-up on key action items.
  • Assist in the planning and execution of high-level events, workshops, and leadership forums.
  • Perform general administrative duties and contribute to continuous improvement of executive support processes.

What qualifications will make you successful in this role

  • Degree or certification in Executive Assistance, Business Administration, or a related field.
  • 10+ years of experience in an executive support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Excellent written and verbal communication skills in English. Spanish is highly valued.
  • Strong organizational and time-management abilities.
  • Ability to work independently, under pressure and manage multiple priorities effectively.
  • High level of professionalism, discretion, and confidentiality.
  • Experience with travel and expense management tools.
