Job Description

We are seeking a highly organized, proactive, and detail-oriented Event Logistics Executive to join our dynamic team. The successful candidate will be responsible for overseeing the logistics and coordination of events, ensuring seamless execution from planning through to the event’s conclusion. This role will involve close collaboration with event teams, suppliers, vendors, and clients to ensure that every aspect of the event runs smoothly. Key Responsibilities: Logistics Planning and Coordination: Manage and coordinate all logistical aspects of events, including venue selection, transportation, accommodation, and on-site management. Work closely with vendors, suppliers, and internal teams to ensure timely delivery and execution of services and products. Ensure all event materials and supplies are prepared and delivered on time, including signage, equipment, and promotional materials. Vendor Management: Liaise with vendors and contractors to negotiate pricing, ensure timely delivery, and address any issues before and during the event. Coordinate vendor schedules and track vendor performance to ensure quality and accuracy. Event Setup and Breakdown: Oversee event setup and breakdown processes, ensuring everything is in place and functional before and after the event. Manage the logistical aspects of the event floor, including the arrangement of booths, signage, and equipment. Transportation and Accommodations: Coordinate transportation arrangements for speakers, guests, and staff, including flight bookings, ground transportation, and hotel accommodations. Ensure all travel details are accurately communicated to all parties involved. Budget and Resource Management: Assist in managing event budgets, ensuring that all logistics-related costs are kept within budget and invoices are processed in a timely manner. Track and manage inventory of event materials and resources, ensuring sufficient stock is available for each event. Communication and Documentation: Maintain clear and consistent communication with all event stakeholders, providing regular updates on event status and any issues that arise. Create and maintain detailed event logistics documentation, including timelines, floor plans, transportation schedules, and vendor contracts. On-Site Event Support: Provide on-site support during the event, ensuring smooth coordination of logistics, troubleshooting any issues, and assisting with guest services. Act as the point of contact for all logistics-related inquiries and tasks during the event.
