Job Description:
Hands-on experience with Document Management Systems (DMS) such as OpenText, M-Files, Microsoft SharePoint, or Hyland OnBase. Exposure to AI/ML or Kn The Consultant will lead the Discovery & Design Phase for the implementation of a Document Management System (DMS) and AI-driven Knowledge Assistant Platform. This role is responsible for refining business requirements, evaluating technology solutions through RFQ processes, proofs of concept, and developing the business case to support vendor selection. The Consultant will collaborate with cross-functional business and IT stakeholders to define the target operating model, architecture, implementation roadmap, and governance required for successful deployment of the selected platforms.
Key Responsibilities: 1. Discovery & Requirements Definition Engage with business and IT stakeholders to capture and refine business requirements for DMS and AI Knowledge Assistant use cases. Document functional and non-functional requirements, including scalability, security, compliance, and integration needs. Define business outcomes, success criteria, and KPIs aligned with organizational goals. 2. RFQ and Vendor Evaluation Lead the RFQ process for Connected Worker and DMS vendor solution selection. Prepare the RFQ package, including detailed requirements, evaluation matrix, and acceptance criteria. Coordinate vendor responses, evaluate technology platforms through demos and proof-of-concepts (POCs). Perform Fit-Gap analysis to shortlist at least three viable DMS platforms. Consolidate findings and prepare a recommendation report for vendor selection. 3. Business Case Development Conduct TCO (Total Cost of Ownership) and ROI (Return on Investment) analysis for shortlisted options. Develop a comprehensive business case supporting vendor selection and implementation strategy. 4. Solution Architecture & Design Define target architecture, integration strategy, and cloud hosting model in alignment with enterprise standards. Specify security, compliance, and network requirements. Design the AI-driven Knowledge Assistant solution, including NLP, data access, and learning models integration. Prepare the solution design documentation considering existing customer technology stack, integration points, and compliance requirements. 5. Implementation Planning & Governance Define implementation and migration roadmap with Build, Expand, and Scale phases. Identify key deployment activities, timelines, and dependencies. Refine the implementation organization structure, including roles, governance model, and decision-making framework. Define adoption and performance KPIs for post-implementation tracking. 6. Stakeholder Coordination Act as the primary liaison between business process owners, IT, security teams, and vendor representatives. Facilitate workshops, review sessions, and steering committee updates. Ensure alignment between business goals, technology feasibility, and vendor capabilities.
Required Skills & Experience:
Experience: 10+ years in IT consulting or enterprise solution design, with at least 5 years leading discovery or design phases of large-scale IT programs. Hands-on experience with Document Management Systems (DMS) such as OpenText, M-Files, Microsoft SharePoint, or Hyland OnBase. Exposure to AI/ML or Knowledge Management platforms (e.g., Microsoft Copilot, IBM Watson, or OpenAI-powered assistants). Proven track record in managing RFQ/RFP processes, vendor evaluations, and solution design in complex enterprise settings. Technical Knowledge: Strong understanding of enterprise architecture, security frameworks, and cloud platforms (Azure, AWS, GCP). Familiarity with data integration, metadata management, and content lifecycle management. Understanding of AI assistant design, NLP concepts, and data governance requirements. Soft Skills: Excellent stakeholder engagement, communication, and presentation skills. Strong analytical and problem-solving capabilities. Ability to work cross-functionally with global teams in dynamic, matrixed environments. Education & Certifications: Bachelors or Masters in IT, Computer Science, or Business Systems. TOGAF, ITIL, or PMI certification preferred. Change Management or Business Analysis certifications (e.g., PROSCI, CBAP) are advantageous. Deliverables: Finalized Business Requirements Document (BRD) RFQ Package with evaluation framework and acceptance criteria Vendor Fit-Gap Analysis Report and shortlist Business Case (including TCO & ROI) Solution Architecture Blueprint Implementation Roadmap & Governance Model AI Knowledge Assistant Design Document
