Role : Document Controller

Experience : 2+ Years

Location : Bangalore

Notice period : 0-15 Days

Work Mode : WFO

Education and Experience Required

  • The candidate should be a Graduate or a Diploma Holder.
  • Certified courses in Document Control Packages will be an added advantage.
  • The candidate must be well versed in English communications. He / She should be able to read / write / speak English language.
  • The candidate should have at least 5 years of Document Controller experience in a reputed organization.
  • The candidate should be aware of Project Schedule packages like Microsoft Project and Primavera. He / She should be able to report documentation progress to planners and Project Manager.
  • Experience in EPC in Projects Based scenario is preferred. Industry experience of Oil and Gas is preferred.

Skills and Competency

  • He / She should have good communication skills. English is the prime language of correspondence. Knowledge of any foreign language will be considered as an advantage.
  • He / She should be having a good understanding of functions of Document Controls, which includes creation of Master Document List, creating Document Work flow in PDMS portal or any other Document Control package.
  • The candidate must be conversant with role of administrator and be able to create work flows in the Document Control Package.
  • The candidate should be able to set timelines, expedite document submissions from team and engage with customers for timely return of documents.
  • The candidate should be able to generate monthly reports for document submission.
  • He /She should support project planner for customized monthly reporting to suit project needs.
  • He should be able to create dash boards.
  • The document controller will work closely with Project manager and Project controls team and support him/her in executing the project.
  • Generally he / she should have following skills:-
  • Good communication skills.
  • A careful eye for detail.
  • To be able to respect privacy as you might be dealing with sensitive documents.
  • Good written skills.
  • To enjoy working as part of a team.
  • IT skills.
  • The ability to priorities your workload.

Competency

  • The candidate should have good knowledge about MS Office including MS Excel, MS Word, Share Point. He /She should be able to run pivot, charts, vlookup, etc.
  • He should have vision and good understanding of Quality. All documents being submitted need to be quality-reviewed before submission.

Job Role

  • Document control refers to a set of procedures intended to oversee the creation, review, approval, release, distribution, access, storage, security, and disposal of documents. It is the bedrock upon which compliance, accuracy, integrity, efficiency, and accountability are built.
  • The Document Controller shall be reporting to the Project manager and his role will be to manage submission, expediting, reporting and retention of documents.
  • He / She will primarily be responsible for:-
  • Used web-based document sharing, customer portals & share points.
  • Used the web-based document sharing, Project Database Management System(PDMS) or any other project required Document management system (e.g. Aconex, SharePoint).
  • Use the company formats, registers for tracking the document deliverables with company standards.
  • Generating the reports for project & customer requirements.
    Maintain the Master Document List and tracking of Pending document and follow up the team for submissions
  • Maintain the track of delay documents follow up with customer.
  • Maintain and update the share folder for both incoming and outgoing documents.
  • Ensure that the documents being submitted are following the document quality control process.
  • Submit weekly or monthly reports to Project Manager and Clients regarding status of Documentation of the project.
  • Maintain transmittals for submission of documents to clients.
  • Coordinate with Planners on look-ahead plan for document submission and report submission/return status back to the Planner for monthly reporting.
  • Liaise with affiliate Document Controllers for alignment and efficient documentation management.
  • Arrange hard copies and filing in box files before submission of Final (As Built) documents to customers
