Job Description

Manage, organize, and maintain accurate and up-to-date documentation related to projects, including contracts, drawings, technical reports, and correspondence.
Implement and monitor document version control to ensure clarity, accuracy, and proper documentation history.
Ensure all documents are correctly named, numbered, and stored logically for easy retrieval.
Utilize document control systems or electronic document management software to track, store, and retrieve documents.
Train team members on the correct use of the document control system and ensure compliance with internal and regulatory standards.
Manage document distribution both internally and externally
, ensuring access permissions are controlled and documented.
Track retrieval requests and maintain a record of document movement.
Perform periodic audits of documentation to verify accuracy, completeness, and compliance with quality standards.
Identify and report discrepancies, working with relevant teams to resolve issues.
Ensure the confidentiality and security of sensitive documents in line with data protection and privacy regulations.
Collaborate with various departments and project teams to compile, share, and update project documentation as needed.
Manage document retention and disposal processes in accordance with legal and company policy requirements.
Continuously seek to improve document control processes by identifying inefficiencies and implementing best practices.
