We are looking for a detail-oriented and technically proficient DMS Executive to manage and optimize the use of our Dealership Management System (DMS). The ideal candidate will be the internal expert on the DMS platform, ensuring data accuracy, supporting system users across departments, and generating critical business reports.

This role requires a strong IT or technical background combined with an understanding of dealership processes (Sales, Service, Parts).

Key Responsibilities

1. DMS Management and Optimization

• Serve as the Primary Administrator and Super User for the dealership's DMS platform.
• Manage user access, roles, and permissions within the DMS to maintain security and integrity.
• Ensure all transactional data (Sales, Service, Inventory, Billing, and CRM) is accurately and timely entered into the system by all relevant departments.
• Conduct regular data audits and cleanup to maintain high data quality and system hygiene.

2. Technical Support and Training

• Provide first-line technical support to end-users (Sales, Service Advisors, Accountants, and Parts personnel) regarding DMS issues, errors, and functional questions.
• Develop and conduct DMS training programs for new and existing employees to ensure efficient system utilization and adherence to best practices.
• Liaise with the DMS vendor or corporate IT team to report complex bugs, manage updates, and deploy system enhancements.

3. Reporting and Analytics

• Generate standard and customized reports from the DMS as required by Management (e.g., daily sales reports, service profitability, inventory valuation, warranty tracking).
• Analyze report data to identify trends, potential process bottlenecks, and areas for operational improvement.
• Assist departmental heads in leveraging DMS data for strategic decision-making.

4. Process Compliance

• Ensure all departmental Standard Operating Procedures (SOPs) related to the DMS are followed consistently.
• Assist in setting up and maintaining accurate system configurations for pricing, part numbers, labor codes, and service packages.

Candidate Requirements

Qualification (IT Focus) Diploma / B.Tech / BCA / MCA in Computer Science, Information Technology, or a related technical field.

Experience1–2 years of experience in a data management, MIS, IT support, or DMS administration role, preferably within the Automotive/Retail sector.

Technical Skills Proficient in Microsoft Excel (advanced functions, pivot tables). Strong understanding of relational databases and data flow.

DMS Knowledge Prior experience or exposure to any major DMS software (e.g., DealerTrack, CDK, Autoline, or similar industry-specific ERP/CRM) is highly preferred.

Soft Skills Excellent communication (to train and support users), strong analytical, and meticulous organizational skills.
