Job Description

Key Responsibilities

Procurement & Vendor Coordination

  • Coordinate day-to-day procurement activities as per hospital requirements.
  • Raise purchase requisitions (PR) and purchase orders (PO) as per approval matrix.
  • Follow up with vendors for timely delivery of medicines, consumables, and equipment.
  • Maintain vendor communication and resolve supply-related issues.

Inventory Management

  • Monitor stock levels and ensure optimum inventory availability.
  • Track fast-moving, slow-moving, and non-moving items.
  • Ensure FIFO/FEFO compliance, especially for medicines and consumables.
  • Coordinate with stores for stock reconciliation and cycle counts.

Department Coordination

  • Liaise with clinical and non-clinical departments for material requirements.
  • Coordinate emergency and critical item procurement.
  • Ensure timely issue of materials to departments.

Documentation & Compliance

  • Maintain accurate SCM documentation including PRs, POs, GRNs, invoices, and contracts.
  • Ensure compliance with hospital policies, NABH standards, and audit requirements.
  • Support internal and external audits.

MIS & Reporting

  • Prepare daily/weekly/monthly MIS on procurement, consumption, and inventory.
  • Track vendor performance and delivery timelines.
  • Support cost control and budget adherence.

Quality & Process Improvement

  • Ensure quality checks at the time of receipt of materials.
  • Report discrepancies, damages, or shortages.
  • Participate in process improvement initiatives and cost optimization.

Key Skills & Competencies

  • Strong coordination and follow-up skills
  • Knowledge of hospital SCM processes
  • Vendor management skills
  • Attention to detail and documentation accuracy
  • Basic understanding of pharmacy, medical consumables, and equipment
  • Proficiency in MS Excel / ERP / SAP / Hospital SCM software

Qualification & Experience

  • Education:

    Any Graduation (BBA / B.Com / Hospital Management preferred)
  • Experience:

    24 years in hospital SCM / materials management
  • Industry:

    Hospital / Healthcare / Pharma / Medical Supplies
