Job Description

Job Title: Client Coordinator

Location: Aestheva Skin & Hair Clinic, Near Sahaj Hospital, South tukogunj Indore

Department: Front Office & Patient Relations

Role Summary The Client Coordinator is the first point of contact for our patients and plays a critical role in delivering a premium, seamless customer experience. This role manages inquiries, bookings, patient onboarding, communication, and ensures every client feels valued, informed, and confident throughout their treatment journey at Aestheva.

Key Responsibilities

Warmly greet and welcome every client; ensure a 5-star hospitality experience.

Maintain a neat, luxurious, and professional front desk environment.

Guide clients through the check-in/check-out process smoothly. Appointment & Calendar Management

Manage doctor/therapist schedules efficiently to maximize productivity.

Confirm appointments, follow-up on no-shows, and maintain waiting time standards.

Coordinate consultations, procedures, and review visits. Lead Handling & Conversion Support

Respond promptly to inquiries across WhatsApp, calls, and DMs.

Explain treatments (broad understanding) and share pricing in line with clinic guidelines.

Maintain CRM/lead tracker and ensure timely follow-ups. Patient Coordination & Journey Management

Assist patients with consent forms, treatment prep, and after-care instructions.

Ensure pre-op documentation, billing, and records are accurate and complete.

Coordinate post-procedure follow-ups, review appointments, and satisfaction calls. Billing & Administrative Duties

Generate bills, process payments, and maintain daily cash reports.

Maintain service inventory and update patient records in the system.

Ensure confidentiality and compliance with medical data policies.

Requirements

Education: Graduate in any discipline (Hospitality/Healthcare admin preferred)

Experience: 1–3 years in hospitality, clinic, salon, or luxury service environment

Strong communication skills (English + Hindi); pleasant personality and grooming

Excellent coordination, follow-up, and multitasking skills

Tech savvy: CRM, WhatsApp Business, POS, calendar tools

Customer-first mindset with empathy and ownership

Performance Metrics (KPIs)

Patient satisfaction scores (reviews, feedback)

Appointment adherence & schedule efficiency

Lead response & conversion follow-up quality

Documentation accuracy and zero service errors
