Role scope
To manages the ordering process and be responsible for ensuring timely orders and deliveries of materials and services to ensure that customer requirements are met, to build vendor relationships to secure the best prices on products for their company. To locate key suppliers, negotiating the company’s purchasing agreements, and planning and creating purchase orders (POs) to maintain adequate material flow based on forecasting. To develop efficient procurement solutions and supports senior management with the development and implementation of sourcing strategies.
Details / responsibilities
- Research suppliers of goods and services

Gather quotes, proposals, and purchase terms and conditions

Execute the purchase of goods or services approved by management

Evaluate and negotiate vendor contracts

Track inventory and submit purchase orders as needed
-
Recommend new products, services, or materials in keeping with industry trends

Prepare proposals, request quotes and negotiate purchase terms and conditions
-
Prepare and issue purchase orders and agreements
-
Monitor supplier performance and resolve issues and concerns
-
Inspect and evaluate the quality of purchased items and resolve shortcomings
-
Analyse industry and demand trends and support senior management with the development and implementation of sourcing strategies

Planning, creating, and processing timely requisitions and purchase orders for raw materials, sub-assemblies, and finished goods

Tracking orders

Ensuring on-time deliveries

Working with Quality Assurance for inspection upon delivery to ensure orders are filled correctly and that goods meet specifications

Developing strong relationships with key suppliers and measure suppliers’ performance based on cost, quality, delivery, and service level

Communicating with suppliers daily and organizing meetings and projects as needed to resolve supply issues

Working with other internal departments such as finance, sales, and operations to resolve issues and concerns
-
Initiating corrective actions on bad materials and following through the resolution with suppliers

Researching and identifying prospective suppliers of assigned categories

Analysing industry and demand trends
Project Procurement:
- Supplier prequalification activities.
-
Prepare RFQ package and send for project and client approval before issuing to Supplier.
-
Invite offers, discuss and close commercial queries with suppliers.
-
Coordinate for closure of technical queries between engineering and supplier.
-
Negotiate prices and T&Cs, prepare commercial bid tabulation and recommendation for award and issue for internal and client approval.

Prepare PO in Procurement system, coordinate for approval and issue to Supplier, obtain supplier acceptance and acknowledgement on PO.

Arrange KOM, Weekly Meeting with Suppliers

Highlight pre & post order concerns to management & client on weekly basis.

Expediting of major packages and bulk items via phone and email

Documenting all written and oral communication with suppliers

Review of the key milestones outlined in the Supplier’s fabrication schedule to understand the expediting activities and requirements.

Verify progress of order/fabrication with vendors.

Maintaining all updated status within Kent’s expediting progress sheets

Presents status of packages to project team and client during weekly meeting
-
Proactively works to identify and resolve material delivery issues.

Reports any pending delivery delays to procurement lead and project management.

Maintaining constant contact with vendors and shipping companies while deliveries are in route.

Developing quality, long-term relationships with key vendor contacts.

Proposals:

Supplier prequalification activities

Manage ITB for Budgetary quotes.

Close commercial clarifications and coordinate with supplier and engineering for closure of technical clarifications.

Negotiate for budgetary prices and quote validity as required by Project and prepare CBE for submission to estimation department.
Qualification & Experience:
-
Diploma / Degree with Total Experience 5 to 12 years
Candidate should have:
-
Expertise in Buying, Expediting and Coordination with Engineering, Quality, Logistics and Project.
-
Should be from O&G EPCM or EPC Background.
-
Good experience in Proposal Procurement
-
Should have knowledge of Shared Service model.
-
Minimum 3-4 years of experience in handling suppliers in USA, Europe and Middle east
-
Should be able to manage Packages independently with minimum supervision.

Strong oral and written communication skills.
-
Should be well versed with Procurement Procedures, Commercial & Legal terms related to Project PO.
-
Fluent in English.
