Job Description

As a Back Office Administrator in the jewellery business, your role will involve managing day-to-day operations related to inventory control, order processing, and handling miscellaneous expenses. Your attention to detail, strong organizational skills, and ability to multitask in a fast-paced environment will be crucial in maintaining accurate stock levels, ensuring timely procurement, and tracking expenses to keep the business running smoothly. Key Responsibilities: - **Inventory Management:** - Maintain and update the inventory system with accurate information about stock levels, product movements, and new arrivals. - Regularly perform stock audits to resolve discrepancies between physical stock and system records. - Coordinate with suppliers to ensure timely replenishment of stock within budget. - Prepare inventory reports, track trends, and provide regular updates to management. - Manage and monitor product returns, damages, and excess stock. - Organize the storage of jewellery items systematically and securely. - **Order Processing:** - Manage the processing of incoming orders and ensure accurate entry into the system. - Coordinate with the sales team for timely order dispatch. - Follow up with customers for order confirmations, shipping details, and delivery. - Handle returns or exchanges as per company policies with proper documentation and tracking. - **Expenses and Financial Administration:** - Track miscellaneous expenses related to day-to-day operations. - Ensure expenses are within budget and report any discrepancies. - Assist in preparing financial reports for management review. - Maintain accurate records of all expenses and reconcile any accounting discrepancies. - **Supplier and Vendor Communication:** - Maintain positive relationships with suppliers and vendors. - Assist in negotiating terms to reduce costs on inventory purchases. - **Documentation & Reporting:** - Create and maintain accurate documentation for all inventory-related transactions. - Prepare and present regular reports on inventory levels, stock movements, and expenses. - Ensure proper filing of purchase orders, receipts, and invoices for easy access during audits. - **Administrative Support:** - Assist with general administrative tasks such as filing, data entry, and email correspondence. - Help prepare presentations or reports for management meetings. - Support the management team in daily office tasks related to operations and inventory.,
