Job Description

Key Responsibilities

1. Facility Operations & Maintenance

  • Oversee daily facility operations including building maintenance, electrical systems, plumbing, and HVAC.
  • Ensure timely maintenance of equipment and infrastructure through preventive and corrective maintenance schedules.
  • Monitor and manage utility services (electricity, water, diesel, etc.).
  • Maintain adequate stock of facility-related consumables.

2. Vendor & Contract Management

  • Manage contracts for housekeeping, security, gardening, pest control, maintenance, and other facility services.
  • Evaluate vendor performance and ensure service delivery as per SLA.
  • Negotiate terms, renew contracts, and ensure cost-effective facility operations.

3. Safety, Security & Compliance

  • Ensure compliance with statutory requirements like fire safety, pollution control, building licenses, etc.
  • Conduct regular risk assessments, fire drills, and safety audits.
  • Supervise security staff and ensure adherence to access control procedures.

4. Housekeeping & Workplace Management

  • Ensure cleanliness and hygiene standards across all work areas.
  • Oversee cafeteria/canteen operations, waste management, and sanitation.
  • Manage space planning, seating arrangements, and office layouts as needed.

5. Budgeting & Cost Control

  • Prepare and manage facility budgets, track expenses, and ensure cost optimization.
  • Identify opportunities for energy-saving and resource optimization.

6. Administration & Coordination

  • Oversee front office/reception operations.
  • Ensure proper record-keeping, AMCs, maintenance logs, and facility MIS reports.
  • Coordinate with departments for facility-related requirements and ensure timely resolution.

7. Emergency Response

  • Develop and manage emergency preparedness plans.
  • Coordinate actions during emergencies like fire, power failure, or equipment breakdown.

Required Qualifications & Skills

  • Bachelors degree in Facility Management, Engineering, or related field.
  • 5+ years of experience in facility/administration management.
  • Strong knowledge of building systems (electrical, plumbing, HVAC).
  • Excellent vendor management and negotiation skills.
  • Good understanding of safety regulations and compliance standards.
  • Strong communication, leadership, and problem-solving skills.
  • Proficiency in MS Office and facility management software (preferred).
