Job Purpose
The Associate Publications Operations Coordinator will support the Publications Operations Leads in delivering all operational aspects related to the GSK Publications Process. Responsibilities include managing systems and tools, data analytics, vendor management, training, communications, and other operational activities essential for the GSK Publications team.
Key Responsibilities
1. Publications Management Systems and Tools
Support activities related to GSK publications systems and tools, including the publications management system (iEnvision Datavision).
2. Data Analytics and Reporting
Assist with data analytics needs for GSK publications teams, including:
Development of automated tools or dashboards for reporting KPIs/metrics.
Monitoring KPIs/metrics over time.
Supporting root cause analysis and action plans for continuous improvement.
Track vendor output quality via Publications Quality Survey.
Support budget tracking and estimation.
3. Vendor Management
Implement the publications supplier governance framework across all vendors.
Prepare for vendor review meetings by collating inputs (KPIs, MM, PQS, training compliance data, QC of invoicing sheets, etc.).
Organize Agency Connect meetings:
Set cadence, plan agenda, maintain action log, and follow up on open items.
Maintain oversight of vendor onboarding, curricula, and system access.
4. Operational Support
Manage access and maintain TEAMS/SharePoint sites (internal and vendor sites).
Handle access management for GSK systems (e.g., iEnvision).
Provide operational support for internal processes (e.g., EEE process).
5. Training
Act as POC for Publications e-learning curricula for internal teams and vendors.
Coordinate with MyLearning team to resolve training-related queries.
6. Communications
Maintain and update the Publications intranet page.
Represent Publications in the OCMO Communications Champions group.
7. Stakeholder Collaboration
Maintain open and effective communication channels with stakeholders to ensure collaboration and address concerns.
Knowledge / Education / Previous Experience Required
A. Educational Background
Minimum Level of Education: Master s Degree.
Area of Specialization: Life sciences or technical background with understanding of publications processes and expertise in systems/tools (e.g., iEnvision Datavision), data analytics, vendor management.
Reason: The role involves interactions with senior stakeholders and requires strong scientific and technical knowledge, project management skills, and communication abilities.
B. Job-Related Experience
Minimum Experience: 2-5 years in:
Publications management systems/tools (e.g., iEnvision Datavision) or similar.
Data analytics within publications, medical writing, or related fields.
Dashboard/reporting tool development or vendor management.
Additional Requirements:
Strong understanding of publication processes and operational efficiency.
Excellent project management and organizational skills.
Strong communication and interpersonal skills for cross-functional collaboration.
Attention to detail and high accountability.
Knowledge of good publication practices (GPP/ICMJE), Sunshine Act, Pharma Code of Conduct.
