Job Description

Fleet Management & Operations

• Conduct routine vehicle inspections and supervise preventive and

scheduled maintenance activities.

• Track fuel consumption, maintain accurate logbooks, and

implement fuel-saving measures.

• Manage repairs, breakdown assistance, parts replacement, and

follow up with AMC vendors.

• Oversee vehicle cleanliness, hygiene, and readiness for employee

transportation.

• Monitor vehicle documentation, including insurance, permits,

fitness certificates, and ensure timely renewals.

• Allocate vehicles efficiently across departments to meet

operational needs.

Driver & Staff Administration

• Prepare duty rosters and monitor driver attendance, punctuality,

conduct, and performance.

• Organize driver training programs, safe driving workshops, and

refresher courses.

• Verify driver licenses, medical fitness certificates, and compliance

with transport regulations.

• Maintain detailed records of driver performance, disciplinary

actions, and training history.

• Address grievances, motivate staff, and implement skill

development initiatives to build a disciplined and reliable team.

Safety, Compliance & Audit

• Maintain compliance with ISO/OH&S standards and statutory

safety regulations.

• Ensure adherence to workplace, vehicle, and OHS safety

standards.

• Support and implement safety audit procedures, driving 100%

compliance across transport operations.

• Monitor vehicle and driver safety protocols, enforcing compliance

with regulatory and internal safety requirements.

• Prepare safety and compliance reports for management and

audits.

Operational Efficiency & Coordination

• Implement efficient route planning, trip scheduling, and vehicle

utilization strategies.

• Use fleet management software, GPS systems, and real-time

monitoring tools to enhance efficiency.

• Coordinate with internal teams for transport requirements and with

external vendors, service centres, and regulatory authorities.

• Monitor KPIs such as vehicle utilization, fuel efficiency,

maintenance costs, and safety compliance.

Administrative & Reporting Duties

• Process vendor invoices, validate service reports, and coordinate

with accounts for timely payments.

• Handle procurement for fleet-related materials, spare parts, and

equipment while ensuring cost-effective sourcing.

• Maintain proper documentation for audits, insurance claims, risk

assessments, and compliance verification.

• Prepare detailed reports on fleet performance, fuel usage, driver

efficiency, incidents, and safety compliance.

Key Responsibilities

• Maintain all vehicles in optimal working condition to ensure

minimal downtime.

• Ensure compliance with transport regulations, licensing

requirements, and company policies.

• Supervise, train, and motivate drivers and transport staff, building a

disciplined, safety-conscious team.

• Drive operational excellence through efficient processes,

technology, and real-time monitoring.

• Maintain proper documentation for audits, insurance claims, risk
