Job Description

Admin

  1. Coordinate administration operations and security services to secure efficiency and compliance as per company policies.
  2. Support company operations by maintaining facilities and supervising contractual and administrative staff
  3. Manage house keeping and security staff to ensure required outcomes
  4. Achieve financial objectives by preparing an annual budget, scheduling expenditure, make timely payments, initiating corrective and cost saving measures
  5. Track stock of office supplies and place order when necessary
  6. Oversee all statutory and safety compliance of all the plants, construction sites and offices
  7. Oversee admin and infrastructure facilities for all plants, construction sites and offices in western region including security
  8. SPOC for providing telecommunication facility to all employees (Sim management and activation)
  9. Vendor Management
  10. This role may require visits to the differently located office facilities.
  11. Should be comfortable working for extended hours during job requirement and emergencies.
  12. Maintaining and collating MIS.

Engagement Activities

  1. Prepare engagement calendar for the year, take approval on the budget and plan activities accordingly
  2. Handle end to end arrangements for the engagement activities /Events (Bday celebration, festival celebration, annual party, annual picnic etc.) at the Corporate office

Improvement Initiatives

  1. Work closely with finance, procurement and HR teams to drive cost reduction initiatives without compromising on the safety and quality of service
  2. Participate in improvement projects to ensure improved services

Travel Desk Support

  1. Handling travel arrangements (tickets, hotel, bus, car) for employees travelling domestic and International.
  2. Handling the International Ticketing and Visa processing and FRRO for employees
  3. Coordinating with hotels and external agencies to organise various events like board meetings, Sales meets, Recruitment drives, outbound training programmes etc.
  4. Vendor management.
  5. Verifying & clearing the bills of vendors and coordinating with Finance department for timely payment.
  6. Maintaining and collating MIS of the travel of all the employees.
  7. Taking care of Guest house of company at various locations
