Job Description:

We are seeking an experienced and detail-oriented Admin & Facility Manager to lead and manage the daily administrative and facility operations at our group. This role requires strong coordination skills across departments, vendors, and support staff to ensure good service levels at all our facilities.

Key Responsibilities:

Corporate Office Administration

• Supervise office assistants, pantry staff, drivers, and security.

• Ensure punctual office opening (9:00 AM) and closing (6:30 PM).

• Enforce staff discipline, desk arrangements, and dress code.

• Maintain all types of Facilities in Solaimalai Group

Group Procurement

• Maintain Organogram, Master Vendor List, SOP, Monthly Summary, and Work Tracker.

• Centralize vendor database and negotiate competitive quotations to ensure cost savings.

• Manage purchase approvals, PO generation, vendor follow-up, and payment coordination.

• Monitor printing, stationery, furniture, and infra procurement across all units.

IT – Purchase & Maintenance

• Manage IT procurement, AMC renewals, and vendor coordination.

• Track TAT, Monthly Expense Summary, Cost Control, and Work Tracker.

• Ensure uptime of server infra, UPS, CCTV, intercoms, and EB panels.

• Coordinate with IT team for system upgrades, preventive maintenance, and asset management.

Facility Management (Infra, AMC, HK, Gardening) – All Units

• Supervise office assistants, pantry staff, drivers, and housekeeping team

• Ensure punctual office opening/closing, staff discipline, and infra upkeep

• Conduct periodic infra/housekeeping audits across depots & offices

• Maintain central AMC register and preventive maintenance schedules

• Ensure TAT compliance, monthly expense summary, cost control, and work tracker reporting.

• Conduct infra, housekeeping, and hygiene audits across depots, offices, and properties.

• Monitor and improve garden maintenance, vendors, and green belt initiatives.

Fuels (BPCL Fuel Stations)

• Track EB and genset registers through Pump Managers.

• Monitor station signage, branding, and lighting compliance.

• Conduct periodic infra inspections to ensure readiness.

Realty

• Manage rent-out properties and Realty operations by coordinating tenant maintenance, repairs, and tracking infrastructure upkeep through vendor contracts.

5. MiniTown (Retail Venture – Infra & Brand Signage)

• Ensure MiniTown signage & branding infra is always operational.

• Support retail operations team with facility readiness during events/promotions.

7. MD Residency (Hospitality Unit)

• Ensure vendor follow-ups for timely servicing.

• Provide monthly infra status reports.

8. Group-Wide Responsibilities

AMC Master Control

• Maintain a central AMC

• Ensure preventive maintenance schedules are adhered to across units.
