As an Admin (Documentation & Project Coordination) at our company, your role will involve managing project documentation, assisting in project coordination, and handling day-to-day office administration. Your proactive and detail-oriented approach will be crucial in ensuring the smooth functioning of projects and office operations. Key Responsibilities: - Prepare, maintain, and organize project-related documents, reports, and correspondence. - Maintain filing systems for contracts, invoices, and project records. - Ensure timely submission of project documentation to clients and internal departments. - Draft letters, official emails, and other communication material. - Assist project managers in planning, scheduling, and monitoring project activities. - Follow up with vendors, clients, and internal teams for project updates. - Track project deadlines and support in preparing progress reports. - Coordinate meetings, prepare minutes of meetings (MoM), and circulate action points. - Handle routine office administration, including correspondence, visitor management, and basic HR support. - Maintain inventory of office supplies and ensure smooth day-to-day operations. - Support management with travel arrangements, appointments, and calendar coordination. - Assist in preparing presentations, proposals, and reports as required. Qualifications & Skills: - Bachelors degree (preferred in Administration, Commerce, or related field). - 2-5 years of experience in administration, documentation, or project coordination. - Proficiency in MS Office (Word, Excel, PowerPoint) and basic documentation software. - Strong organizational and multitasking abilities. - Excellent written and verbal communication skills. - Ability to work independently with minimal supervision. - Professional, positive, and team-oriented attitude.
